Full Job Description

The Operations Manager is a hands-on leader responsible for overseeing and optimizing all aspects of Customer Service and Purchasing operations for the organization. This role manages a comprehensive range of activities including customer service delivery, contract management, purchasing strategy, inventory management, supplier relationships, workflow optimization, staff development, and project implementation. This position is critical to ensuring operational excellence, customer satisfaction, inventory optimization, and profitability while overseeing and implementing all policies and procedures across both departments.

Operations Management

· Manages the day-to-day operations of both Customer Service and Purchasing departments across all locations.

· Creates, documents, and maintains procedures and processes to ensure optimum customer service levels and operational performance

· Serves as department champion for business systems and continuously identifies, recommends, and implements process automation opportunities

· Measures and reports monthly department KPIs and results to senior management

· Prepares and executes department business plans and adheres to approved budgets, ensuring cost-effective resource allocation

Staff Leadership & Development

· Hires, trains, and reviews staff across both disciplines; completes performance reviews for direct reports and approves reviews for all Customer Service and Purchasing staff

· Manages and guides supervisors through counseling, coaching, advocating, and mentoring, fostering a culture of accountability and continuous improvement

· Determines priorities, aligns skills and experience to maximize performance, and fosters a continuous learning environment

Customer Service Operations

· Assigns customer accounts, maintains balanced workloads, and evaluates staffing levels based on business volumes and customer requirements

· Handles complex and escalated customer service situations and maintains accurate records of all customer service actions

· Acts as Voice of the Customer, providing feedback across departments to ensure customer support and identify barriers to success

· Analyzes statistics and produces reports to monitor customer service performance, KPIs, and results

Purchasing & Inventory Management

· Defines purchasing and inventory management responsibilities; coordinates organizational focus with Analyst(s).

· Authorizes inventory decisions and collaborates with Executives on high-level approvals

· Establishes and develops strategic supplier relationships, champions Supplier Review Board, and supports buyers on major sourcing decisions

· Reviews and manages supplier distribution agreements and unique supply agreements

· Monitors inventory performance, advises branch locations on inventory concerns, and evaluates/adjusts strategies based on market indicators and sales trends

· Establishes business system product categorization and coordinates with Pricing department on item record integrity

· Represents Operations at Distributor Advisory Council meetings and events

Strategic Planning & Cross-Functional Collaboration

· Provides strategic vision and assists with implementation of goals set forth by VP of Operations

· Monitors industry trends and best practices; guides staff on system enhancements and strategizes on process improvements

· Maintains relationships with transportation partners, logistics providers, and suppliers to ensure optimal service delivery

Pay: $100,000.00 - $150,000.00 per year
