Job Title: Finance and Administrative Coordinator

Pay Type: Non-Exempt
Schedule: Full-Time
Location: In-Person
Reports to: General Manager

Nestled in a vibrant lake community, the Smoke Rise Club Office is dedicated to providing exceptional property management and administrative services. Our office is committed to operational excellence, fostering a culture of growth, collaboration, and community engagement while serving both our management team and residents.

Position Summary

The Finance and Administrative Coordinator is a key contributor to our daily operations. This role requires a detail-oriented, adaptable professional who can expertly manage a range of financial tasks while providing high-level administrative support. The blend of financial expertise, organizational skills, and customer-focused approach will ensure smooth operational flows and contribute to the overall success of our community.

Key Responsibilities

Finance & Accounting Support:

· Perform weekly accounts payable and receivable activities to ensure timely and accurate processing.

· Oversee bookkeeping and expense management tasks, including reconciliations and maintenance of financial records to support robust accounting practices.

· Code and record general ledger transactions, ensuring accuracy in financial documentation.

· Process invoices and schedule payments with a focus on precision and timeliness.
Monitor and reconcile banking transactions and credit card statements in adherence with company policies.

· Assist in preparing and reviewing monthly and annual financial reports to support strategic decision-making.

· Collaborate with department leaders to provide comprehensive financial insights and support.

· Perform weekly accounts payable and receivable activities to ensure timely and accurate processing.

· Manage vendor relationships by understanding contracts and ensuring compliance with established financial policies.

· Oversee petty cash management, ensuring all transactions are properly documented and aligned with internal controls.

· Assist with annual audit preparations by gathering documentation, coordinating with external auditors, and ensuring adherence to regulatory requirements.

Administrative Duties:

· Provide essential office support, including operating standard equipment and managing day-to-day communications.

· Answer phones and respond to general inquiries, delivering exceptional customer service to residents and team members.

· Assist with the development and implementation of internal procedures and special projects aimed at streamlining operations.

Minimum Qualifications:

· Proven experience in bookkeeping, finance, accounting, or administrative roles.

· Proficiency with accounting software (e.g., QuickBooks) and the Microsoft Office Suite (Excel, Word, Outlook).

· Solid understanding of basic bookkeeping and accounts payable/receivable principles.

· Strong organizational skills, paired with excellent written and verbal communication abilities.

· Exceptional attention to detail and a proactive approach to problem-solving.

· A high level of discretion with the ability to manage confidential information.

· Familiarity with property management or community association operations is a plus.

· Ability to work both independently and collaboratively in a dynamic environment.
