You’ll be the backbone of our administrative functions, ensuring smooth daily operations while maintaining a positive, professional environment. Responsibilities

Manage daily bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and account reconciliations
Handle multi-line phone systems with professionalism, providing exceptional customer support and client communication
Maintain organized filing systems and update spreadsheets to ensure accurate record-keeping
Assist with front desk duties such as greeting visitors, answering inquiries, and managing appointment calendars
Support office management activities by coordinating supplies, processing data entry, and performing general clerical tasks
Proofread financial documents and correspondence to ensure accuracy and clarity
Utilize productivity software like Microsoft Office (Word, Excel) for document creation, data analysis, and reporting

Requirements

Proven office experience with strong computer literacy and technical proficiency in Microsoft Office applications
Familiarity with QuickBooks or similar accounting software is highly preferred
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
Strong typing skills along with attention to detail for proofreading and data entry accuracy
Bilingual abilities are a plus to assist diverse client needs and enhance communication
Previous experience in administrative or clerical roles, especially front desk or customer service positions
Effective phone etiquette and communication skills for professional client interactions
Ability to manage multiple responsibilities simultaneously while maintaining productivity and efficiency
