Office Administrator / Order Processing Coordinator

Prestige Import Group – Deerfield Beach, FL
Full-Time | Monday – Friday | 9:30 AM – 6:30 PM
Salary: $50,000 per year

Prestige Import Group is a well-established importer and distributor of premium cigar accessories and humidors with over 20 years in business. We are seeking an experienced Office Administrator to join our team.

This is not a repetitive desk job. Every day involves a wide variety of responsibilities, and the ideal candidate must be comfortable managing multiple priorities in a fast-paced office environment. If you enjoy staying busy, solving problems, helping customers, and keeping operations running smoothly, this could be an excellent long-term career opportunity.

Primary Responsibilities

Process customer orders accurately and efficiently
Answer inbound customer phone calls and customer service emails
Provide professional, friendly, and knowledgeable customer support
Prepare customer invoices, process customer payments, charge credit cards, and post payments in QuickBooks
Process vendor invoices and assist with accounts payable
Coordinate purchasing and inventory-related tasks
Prepare daily shipments using UPS, FedEx, USPS, and LTL freight carriers
Print shipping labels and work closely with our warehouse staff to coordinate accurate and timely daily shipments
Schedule freight shipments and communicate with freight carriers and customers
Process warranty claims, freight claims, damage claims, customer returns, and other service-related issues
Assist with Amazon FBA shipments and other online marketplace fulfillment
Learn our product line to effectively assist customers with questions and product recommendations
Work closely with our sales, warehouse, purchasing, and management teams to ensure smooth day-to-day operations
Perform general office administrative duties and assist with special projects as needed

Qualifications

The ideal candidate should have experience in most of the following areas:

Office administration
Customer service
Well-spoken, articulate, and able to handle customer service matters professionally and confidently.
Order processing
QuickBooks (including invoicing, payment posting, and general bookkeeping functions)
Credit card payment processing
Shipping through UPS, FedEx, USPS, and LTL freight carriers
Inventory, purchasing, or logistics
Amazon Seller Central, Amazon FBA, or other online marketplace experience (preferred)
Microsoft Outlook, Word, and Excel
Strong computer skills with the ability to quickly learn new software

Able to work independently while also being an effective team player
Comfortable learning new products and business processes
Proficient with computers and possesses strong typing skills (40+ WPM preferred)
