General Description:
We are looking for a Director of Facilities to join our school team. This position is responsible for the maintenance and oversight of the school building and grounds. The right candidate should have experience with commercial building systems and prioritize creating a clean and safe learning environment for students, staff, and families. This position provides both strategic oversight and hands-on operational support. The Director of Facilities will ensure compliance with all city, state, and federal building codes, and maintain all permitting and licensing needed to legally and safely operate the facility. This position will communicate effectively with all stakeholders.
This individual will play a key role in adding cooling to the building and updating the school's air handling system within the next year. The right candidate will have a high level of organization and project management skills. The Director of Facilities understands and promotes the school’s mission, vision, values, and key goals both within and outside of the immediate school community.
Essential Duties and Responsibilities:
Facility Operations & Leadership
- Oversee the daily operation, maintenance, cleanliness, and functionality of school buildings and grounds.
- Develop, implement, and manage systems, procedures, schedules, and budgets related to facility operations and maintenance.
- Collaborate with school leadership to identify facility priorities, operational needs, and long-term capital improvement goals.
- Develop and manage annual facilities and maintenance budgets.
- Lead long-term facility planning initiatives, including infrastructure improvement and building modernization projects.
- Communicate regularly with the Executive Director, Facilities committee, and administrative team regarding facility conditions, projects, timelines, and operational concerns.
- Serve as the primary liaison between the school and external contractors, vendors, inspectors, and service providers.
Compliance, Safety & Emergency Operations
- Ensure compliance with all applicable building codes, licensing requirements, safety regulations, and operational standards.
- Oversee school emergency preparedness procedures, crisis management updates, and required safety drills in collaboration with school leadership.
- Coordinate required inspections, testing, reporting, and compliance documentation related to facility systems and operations.
- Maintain all required facility records, permits, plans, blueprints, safety documentation, and compliance reports.
- Ensure compliance with AHERA asbestos management requirements, including inspections, notifications, recordkeeping, and reporting to multiple stakeholders.
- Serve as the on-call contact for facility emergencies, including alarm responses and urgent operational issues occurring outside normal work hours.
Maintenance & Building Systems
- Coordinate and respond to facility maintenance requests and work orders.
- Perform or oversee routine repairs, preventative maintenance, and operational troubleshooting as appropriate.
- Oversee maintenance and service contracts for building systems including HVAC, boilers, elevators, telecommunications, security systems, plumbing, electrical systems, and kitchen equipment.
- Monitor utility usage, repair costs, and operational performance of building systems to support efficient facility management.
- Maintain seasonally appropriate building operations and environmental controls to support safe and energy-efficient facility conditions.
- Coordinate purchasing, organization, and storage of maintenance materials, tools, supplies, and equipment.
Grounds & Environmental Maintenance
- Oversee maintenance and safety of school grounds, landscaping, parking areas, walkways, and outdoor spaces.
- Coordinate snow removal, ice management, outdoor cleanliness, waste removal, and seasonal grounds maintenance.
- Ensure grounds remain safe and accessible for students, staff, families, and visitors.
Technology, Security & Operational Support
- Support management and maintenance of building security, telecommunications, and operational technology systems in collaboration with external vendors and school leadership.
- Assist with staff onboarding and offboarding related to keys, access systems, radios, and operational equipment.
- Support staff with basic operational and facility-related technology needs in collaboration with the school’s IT provider.
Community Collaboration & Organizational Support
- Coordinate & attend facility-related volunteer efforts and community workdays in partnership with Family Engagement Manager (1-2 Saturdays per year).
- Attend facilities or grounds committee meetings as needed.
- Arrive on time and prepared for each workday.
- Participate in required meetings, professional development, and school events.
- Maintain professional competence through ongoing training.
- Support daily school operations such as recess and transitions as assigned.
- Perform duties in alignment with school policies and charter requirements and adapts to reasonable changes in assignments, schedule, or work setting to support school operations.
Required Qualifications
- Associate degree in facilities management, building operations, construction management, maintenance, or related field; or equivalent professional experience.
- Experience in facilities management, maintenance operations, construction coordination, or related work.
- Strong organizational, problem-solving, and project coordination skills.
- Ability to manage multiple priorities and operational demands simultaneously.
- Ability to build positive working relationships with vendors, contractors, staff, and community members.
- Strong written and verbal communication skills.
- General mechanical aptitude and ability to perform basic facility repairs and troubleshooting.
- Proficiency with Microsoft Office and willingness to learn new systems and technology platforms.
- Ability to respond to facility emergencies outside normal working hours.
- Ability to pass a criminal background check prior to employment

Preferred Qualifications
- Bachelor’s degree in a related field.
- Experience working in a school, nonprofit, or educational environment.
- Familiarity with commercial building systems including HVAC, plumbing, electrical, telecommunications, and security systems.
- Experience managing vendors, capital projects, or regulatory compliance processes.
