Full Job Description

Position : Front Desk Receptionist / Intake Coordinator

Supervision : Reports to the Front Desk Supervisor.

Summary of Duties : Responsible for greeting visitors and patients at the front counter and on the telephone, scheduling appointments, collecting and maintaining patient information, and collecting co-pays and previous patient balances.

Answers all incoming calls, takes messages for practice, providing the necessary information to the clinical staff to answer the message, including patient’s name, caller’s name, telephone number and complete message.
Schedules appointments according to practice policy.
Enters new patient information and update established patient information into the practice management system at time of scheduling.
Uses practice management system to verify eligibility and benefits prior to the patient’s appointment.
Verifies insurance via phone calls or insurance websites.
Obtains prior authorizations when appropriate.
Greets patients and visitors in a friendly manner as they arrive. Embodies the concept of “Director of First Impressions” .
Obtains copies of primary and/or secondary insurance card(s) and verifies this information at each visit. Verifies and updates patient’s address, phone number and any other changes. Reviews patient information forms to be sure all information is completed and signed. If an annual update needs to occur, changes co-pay, name, signature date or other pertinent data as needed.
Collects co-pays and previous balance (if due), provides receipts, and maintains log of all monies collected from patients.
Provides all new patients with a copy of Notice of Privacy Practices and obtains signature of acknowledgement.
Obtains patient signature for the assignment of benefits statement, allowing the practice to submit bills to the patient’s insurance.
Ensures that patients are seen in a timely manner and communicates waiting times to both the physician and patient.
Assists patients in checking out including but not limited to scheduling follow-up appointment, scheduling testing (as needed and instructed by clinical team), giving patient handouts and instructions, making follow up appointment with specialist or hospital.
Performs daily closing procedure including- (A) collection of all daily tickets, and cash receipts. Balances cash received with cash receipts. Prepares check out sheet and sends to billing office for data entry. (B) Balances cash drawer to ending/beginning cash on hand. (C) Verifies kept, missed, or cancelled appointments in the practice management system and communicates this to the billing office.
Ensures that the reception area maintains a neat appearance
Reports patient concerns as appropriate to physicians immediately.
Maintains patient confidentiality.

Physical Requirements : Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking. May require lifting up to 50 pounds. Requires the ability to distinguish letters or symbols. Requires the use of office equipment, such as computer terminals, telephones or photocopiers. Requires normal vision range and the absence of color-blindness. Exposure to body fluids.

Working Conditions : Exposure to communicable diseases, toxic substances, medical preparations and other conditions common to a medical office.

Performance and Experience Requirements:

High school diploma or equivalent
Minimum of three years of experience in a physician practice preferred
Good oral communication skills.
Able to create and maintain positive environment at the front desk
Experience with automated scheduling and billing systems
Familiar with commercial insurance, Work Comp, Medicare/Medicaid, etc.
Able to demonstrate independent judgment and initiative appropriately
