Full Job Description

The Business Unit Administrator provides strategic and administrative support for our Finance and Development leaders and teams. Helping to drive key initiatives, optimize processes, coordinate projects, and contribute to the successful execution of organizational objectives.

What You’ll Do:

Serve as a key point of contact for business unit personnel, addressing inquiries and operational needs.
Perform financial analysis and budget tracking for the business unit.
Develop and maintain reports and spreadsheets utilizing various software applications.
Act as a liaison between senior leadership and corporate offices, external agencies, and employees.
Provide executive-level administrative support, including handling correspondence, scheduling travel, and managing document preparation and filing.
Independently create professional presentations and reports, including PowerPoint presentations.
Plan and coordinate meetings for business units. This includes, but is not limited to: scheduling, budgeting, managing accommodations and travel, negotiating vendor contracts, ensuring meeting room set up is appropriate, and presentation materials are available.
Lead special projects that involve data collection, analysis, training, and strategic recommendations.
Maintain a master calendar of critical dates for the senior leadership team and ensure timely follow-ups. Seamlessly manage scheduling conflicts and negotiate compromises.
Record and distribute meeting minutes to ensure alignment and accountability and take ownership of ensuring action items are completed.

What We’re Looking For:

High school diploma plus a minimum of 6 years advanced operational administrative experience required.
Strong organizational and problem-solving skills with the ability to prioritize multiple tasks required.
Proficiency in financial analysis, reporting, and business administration required.
Excellent written and verbal communication skills, with the ability to interact effectively at all levels required.
High-level proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and other relevant business software required.
