Full Job Description

Controller/Billing Specialist

Accounting leadership and project billing

COMPENSATION

$75,000–$85,000 annually, based on experience

Position Summary

We are seeking an experienced, detail-oriented full time Controller/Billing Specialist to oversee accounting operations and project billing for our residential construction, remodeling, commercial, and cabinetry businesses.

This hands-on role is responsible for financial reporting, month-end close, customer billing, cash-flow forecasting, job costing, and oversight of accounts payable and payroll. The ideal candidate is highly proficient in QuickBooks Online, Microsoft Excel and has experience in construction or project-based accounting.

Key Responsibilities

· Prepare monthly, quarterly, and annual financial statements.

· Complete month-end close and reconcile all balance-sheet accounts using Excel workpapers.

· Prepare accruals, depreciation and amortization entries, loan entries, intercompany entries, and other general journal entries.

· Reconcile bank, credit-card, loan, payroll-liability, sales-tax, and intercompany accounts.

· Review profit-and-loss statements and investigate discrepancies.

· Develop budgets, cash-flow forecasts, and financial projections.

· Monitor cash balances and help prioritize vendor payments.

· Manage residential and commercial project billing.

· Create projects and invoices in QuickBooks Online.

· Maintain Excel schedules tracking contract amounts, invoiced amounts, and remaining billings.

· Record customer payments and deposits and follow up on overdue balances.

· Research and resolve customer billing questions and discrepancies.

· Oversee accounts payable and ensure bills are classified and assigned to the correct projects.

· Oversee biweekly payroll, employee-hour approvals, payroll reconciliations, and SIMPLE retirement-plan contribution reporting.

· Allocate labor, materials, inventory, and other costs to the appropriate jobs.

· Work with project managers to review job costs, billings, margins, and profitability.

· Maintain accurate inventory and general-ledger records.

· Establish and maintain effective accounting procedures and internal controls.

· Coordinate with outside tax accountants, auditors, and other financial professionals.

· Supervise and support employees responsible for accounts payable and payroll.

Required Qualifications

· Comprehensive, hands-on proficiency with QuickBooks Online.

· Strong Microsoft Excel skills.

· Experience with financial reporting, month-end close, general-ledger accounting, accounts receivable, accounts payable, payroll, and bank reconciliations.

· Experience with project billing, job costing, and profitability analysis.

· Ability to prepare accruals, depreciation and amortization entries, loan entries, and intercompany entries.

· Strong analytical, organizational, and problem-solving skills.

· Exceptional attention to detail and accuracy.

· Ability to meet deadlines and handle confidential financial information appropriately.

· Strong written and verbal communication skills.

Preferred Qualifications

· Bachelor’s degree in accounting, finance, business, or a related field.

· Accounting or controller experience with a residential or commercial builder.

· Experience with new construction, remodeling, cabinetry, manufacturing, or an inventory-based business.

· Previous experience in a billing department or project-billing position.

· Experience supervising accounts-payable and payroll functions.

· Experience managing accounting for multiple related companies.

Ideal Candidate

The ideal candidate is dependable, proactive, and comfortable taking ownership of the accounting function. This person can manage detailed daily accounting responsibilities while providing management with timely, accurate financial information and useful insight into project profitability.

Pay: $75,000.00 - $85,000.00 per year
