Community Support Advocates is seeking an energetic, highly organized, and people-oriented Volunteer & Events Coordinator to help bring our community engagement efforts to life. This position will coordinate volunteers, support community events and outreach, and help create meaningful opportunities for people to connect with Community Support Advocates and the work we do.
The Volunteer & Events Coordinator will play a key role in planning and executing our mental health awareness community conversation series, quarterly art showcases, and other community events and engagement opportunities. This position will also lead our Community Connections Committee and oversee the volunteer experience from recruitment and onboarding through engagement, recognition, and ongoing involvement.
This is a highly collaborative, people-facing position for someone who enjoys working with a wide variety of people, can move comfortably between planning and doing, and thrives when there are many moving pieces to coordinate. Essential Duties and Responsibilities:
Event & Community Engagement Coordination
Event & Community Engagement Coordination
- Assist with the planning, coordination, and execution of Community Support Advocates' community-facing events and engagement opportunities.
- Serve as the Community Connections chair, schedule monthly meetings, set agendas, and coordinate the planning of org wide external activities.
- Coordinate logistics for the organization's mental health awareness community conversation series, including event timelines, speakers, volunteers, materials, communications, registration, setup, and day-of support.
- Support planning and execution of quarterly art showcases and exhibitions, working closely with staff, artists, volunteers, community partners, and event participants.
- Assist with applicable community events, outreach activities, tabling opportunities, educational programs, and other public-facing activities.
- Develop and maintain event timelines, task lists, checklists, schedules, and other organizational tools to ensure details and deadlines are managed effectively.
- Serve as a welcoming and knowledgeable Community Support Advocates representative at events and community activities.
- Anticipate logistical needs, identify potential challenges, and help troubleshoot issues before and during events.
- Coordinate with internal staff, vendors, community partners, speakers, artists, volunteers, and other stakeholders to keep projects moving forward.
- Assist with post-event follow-up, including volunteer communication, thank-you efforts, feedback collection, documentation, and evaluation.
Volunteer Recruitment & Management
- Lead the recruitment and onboarding process for Community Support Advocates volunteers.
- Develop and maintain a consistent volunteer recruitment pipeline through community outreach, events, partnerships, online opportunities, and other appropriate channels.
- Coordinate volunteer applications, screening, onboarding, orientation, training, and placement.
- Match volunteers with appropriate opportunities based on their interests, skills, availability, and organizational needs.
- Maintain accurate volunteer records, schedules, contact information, participation, and hours.
- Communicate regularly with volunteers to provide information, answer questions, address concerns, and identify opportunities for continued engagement.
- Help create a positive and meaningful volunteer experience that encourages volunteers to remain engaged with the organization.
- Coordinate volunteer recognition and appreciation efforts.
- Identify opportunities to expand and improve volunteer engagement based on feedback, participation, and organizational needs.

The role of Volunteer and Event Coordinator is clearly defined by a set of responsibilities which provide members with the best possible services available.
Supervisory Responsibilities
The Volunteer and Event Coordinator is directly responsible to and supervised by the Development Director. and does not have any specific supervisory responsibilities.
Travel Requirements
Travel is required as needed to the service location. Visits can occur in the Individual/family home, community setting, or office. Service location is usually determined based on both Individual/family choice and program requirements.
Qualifications

This person must possess the ability to: work alone and with limited supervision, manage time effectively to meet deadlines, review multiple standards, interpret information and be detail oriented. This person must qualify with the company’s underwriter as an insurable driver and possess legal driving privileges in the State of Iowa. The individual must clear annual background checks including, but not limited to, criminal, abuse and Office of Inspector General.
Education and/or Experience
Must be at least 18 years of age with a High School Diploma or GED equivalent, required. A Bachelor’s Degree from an accredited college or university in a related field is preferred.
One year experience managing events and or events desired.

Ability to communicate effectively to customers and employees of the organization while demonstrating a high level of motivation. Demonstrate a high level of detail orientation and organization. Possess good problem-solving skills and be able to follow through with assignments. Ability to read and interpret documentation, analyze and interpret data, use routine computer programs, to develop routine reports, and to handle non-routine crisis situations.

This person must be certified free of communicable diseases by a medical professional.
