Full Job Description

Job Summary

We are looking for a reliable, organized, and detail-oriented Office Assistant to support our growing team. This position will provide excellent customer service, answer phones and emails, prepare client invoices, maintain records, and serve as a liaison between our field crews and the office.

The ideal candidate will be comfortable communicating with technicians in the field, gathering job information, keeping the office updated, and making sure paperwork and invoicing accurately reflect the work completed.

Experience in water-related services, plumbing, well service, or construction is strongly preferred.

Responsibilities

Serve as the primary liaison between field crews and the office, ensuring information is communicated accurately and promptly.
Communicate with field technicians regarding job status, completed work, materials, paperwork, and information needed for invoicing.
Answer incoming phone calls and emails and provide excellent customer service.
Communicate professionally with customers, vendors, and field personnel.
Prepare and send customer invoices based on completed work orders.
Review job documentation to ensure invoices are accurate and complete.
Follow up with customers regarding invoices and payments.
Prepare, scan, and organize job folders, contracts, permits, daily reports, and other documents.
Maintain accurate customer and company records.
Enter data and maintain organized files.
Track purchase orders and related paperwork.
Assist with scheduling and general office duties.
Work closely with management and field crews to ensure jobs are properly documented and information is communicated between the field and office.

Qualifications

Excellent customer service and communication skills.
Strong attention to detail and organizational skills.
Ability to communicate effectively with field crews and office personnel.
Dependable, professional, and able to work as part of a team.
Ability to multitask and prioritize in a busy office environment.
Basic computer skills and proficiency with Microsoft Word, Excel, and Outlook.
Familiarity with QuickBooks Enterprise Contractor (Desktop) preferred; training may be available.
Previous office or administrative experience preferred.
Experience in water-related services, plumbing, well service, or construction is strongly preferred.
Experience preparing customer invoices is a plus.
