Full Job Description

Office Coordinator Job Description:

Pearcy Auto Sales is seeking a responsible and experienced Office Coordinator in West Memphis, AR. This position is FULL time and is responsible for facilitating key tasks and procedures to keep the office running smoothly. Most of the daily duties involve taking payments, directing phone calls, filing paperwork, processing titles, coordinating with DMV, and handling our CPI program. This position is well suited for someone detail-oriented due to the strict guidelines that must be followed when submitting various government paperwork that this job requires.

Some of the duties and responsibilities of this job includes:

Answering & screening phone calls, transferring callers as appropriate.
Taking customer payments, posting payment information, and notating accounts.
Handle title and lien paperwork for purchased and repossessed vehicles.
Coordinate with various vendors and repossession agents.
Manage office and vehicle supply inventory (plates, key tags, stickers, etc.)
Maintain organized filing systems for deal jackets, inventory, and customer accounts.
Prepare paperwork for sales and verify deal jackets are complete.
Assist with bankruptcy claims, insurance payoffs, and CPI coverage updates.
Input vendor invoices and handle mail, packages, and faxes.
Preparing and organizing title paperwork to be sent to the State DMV.
Support the sales team with customer approvals, documents, and CRM updates.
Handle vehicle inventory setup (keys, stickers, GPS, and title verification)
Will have to maintain a cash drawer and balance with receipts at the end of every day (from taking payments).

Requirements:

At least 1-2 years of Office/Admin experience
A valid Driver’s License
A clean driving record
Must own an insured vehicle for personal use
Must have flexibility to work on some Saturdays (9am-4pm)
Must have a basic fundamental understanding of automobiles and the automotive field
Needs to have a basic understanding of vehicle financing (down payment, interest, etc.)
Must be excellent at communicating information to visitors and inquirers
Possess good dress sense that portrays neat and smart personality
Must be familiar with the Microsoft Office Suite (especially Excel)

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
