Full Job Description

Office Coordinator – Building Services Industry

Janitronics Building Services is an established and growing janitorial, commercial cleaning, and building services management firm in the Boston area with an outstanding professional reputation for premium service delivery. We focus on delivering environmentally beneficent, high-retention services to property management organizations and Fortune 1000 firms.

We are seeking an Office Coordinator to join our dynamic team in our Waltham, MA location. If you are an administrative office professional, we’d like to hear from you.

Job Activities/Responsibilities:

Read, write, and speak Spanish
Customer and visitor greeting in lobby
Document filing, file system organization, document / file archival duties
Document creation, editing, formatting, and proof reading of both text and numerical information
Excellent typing skills required with careful attention to detail
Telephone duties
Maintenance of documents and office equipment maintenance including copiers, fax, scanners, printers, shredders, and other commonly used office devices including mobile phones.
Ordering, receiving, storing, re-ordering, invoice processing for all supplies and materials
Assist and support the planning of special events, meetings, conferences, and any related logistics

Experience Required:

College degree preferred along with previous professional office support services experience in a fast-paced, dynamic services delivery environment
Excellent working knowledge of Microsoft Office with an emphasis on MS Word document creation, format, editing, and filing, PowerPoint
Excellent customer services skills, positive attitude, and strong verbal and written skills are a must.
Must be personable, welcoming to visitors and staff, and overall become an ambassador for the business when facing the public.
The person in this position may be called upon to pitch-in during periods of increased activity.
Must possess a reliable vehicle or immediate access to the MBTA with a minimum commute time to ensure on-time arrival to open the office even during weather related events.
