Fabuwood is seeking a proactive and detail-oriented Administrative Assistant to support operations within our Finishing Department. This role is responsible for ensuring the smooth and timely flow of materials, components, and work orders throughout the finishing process. The Administrative Assistant will work closely with Production, Finishing, and cross-functional teams to prevent delays, resolve issues quickly, and maintain an efficient workflow.

Key Responsibilities

Production Coordination

Coordinate and expedite the movement of materials and components within the Finishing Department to ensure timely completion of production.
Monitor and track work orders to identify and prevent delays or bottlenecks in the finishing process.
Communicate with Production, Finishing, and other departments to follow up on pending items and resolve issues promptly.
Ensure all required materials and components are available and ready for finishing according to production schedules.
Assist in prioritizing workloads based on production needs and deadlines.

Administrative Support

Maintain accurate tracking records and production documentation using Microsoft Office applications.
Update reports and communicate production status as needed.
Support department leadership with administrative tasks related to workflow coordination and production tracking.

Cross-Functional Collaboration

Work efficiently in a fast-paced environment while managing multiple priorities.
Collaborate with cross-functional teams to support overall production flow and operational efficiency.
Assist in identifying opportunities to improve communication and workflow within the department.

Qualifications

Required

Bilingual in English and Spanish.
Previous experience in manufacturing, production, or a similar coordination role preferred.
Strong organizational and multitasking skills.
Excellent communication and problem-solving abilities.
Proficiency in Microsoft Office, including Excel and Outlook.
Ability to work under pressure and adapt to changing priorities.
Detail-oriented with a proactive mindset.
