Full Job Description

Under limited supervision, performs high level secretarial and administrative assistance of a confidential nature for the Police Department / Traffic Division; and ensures flow of accurate information in a timely efficient manner; and performs other related duties as assigned.

DUTIES AND RESPONSIBILITIES (Which are not in any hierarchical order)

1. Performs variety of routine and complex secretarial duties.

2. Responds to, records and/or routes incoming telephone calls, e-mails, or walk-ins, greets the public, and process mail.

3. Composes, types, transcribes, and edits a variety of correspondence, reports, memoranda, and other material from written draft or dictation.

4. Maintains confidential records and reports for department; establishes and maintains records and files.

5. Maintains schedules and completes travel arrangements for department heads.

6. Maintains, tracks and processes invoices and budgetary expenditures; prepares budgetary information and spreadsheets.

7. Prepares purchase orders; maintains inventories, and orders office supplies and materials.

8. Processes a variety of human resources documents including hiring requisitions, appraisals, promotions, attendance records and payroll input forms.

7. Responds to inquiries and requests.

8. May supervise staff or serve in a lead capacity.

9. Performs other related duties as assigned.

Salary

$22.60 hourly - Pay grade 48

Qualifications

Associates degree with a major in Business Administration (education will be verified using the “Education Requirements” listed below) and four (4) years of related experience, or any equivalent combination of training and experience required.

A current and valid Florida driver’s license is required. For application purposes, a valid driver’s license from any state (equivalent to a State of Florida Class E) may be utilized; with the ability to obtain the State of Florida driver’s license within thirty (30) days from date of employment.

Education Requirements

To be considered valid (or verified) for position qualification purposes, and consistent with City Hiring Policy 4-5, a High School, GED or equivalent diploma, and all higher education degrees or certifications must have been issued by:

a) a public education institution in the State of Florida or any State or Territory of the United States; or

b) an institution accredited by an accrediting organization that is recognized by the Florida Department of Education or the U.S. Department of Education; or

c) an institution that is accredited by an organization that is recognized by the Council for Higher Education Accreditation (CHEA); or

d) an institution whose degree or certification is accepted by institutions identified in either a, b or c above for the purpose of admission to institutions identified in either a, b, or c above.

International degrees will be evaluated to determine if they satisfy qualification requirements.

City of West Palm Beach Police Department Tattoo Policy:

ALL tattoos must be covered during official court proceedings, award ceremonies, or any official police proceedings deemed by the Chief of Police or designee.
The following visible markings are prohibited:
Any marking located on the head, face, neck (above the collarbone, hands (below the wrist bone).
Tattoos or other markings that promote racism/discrimination, indecency, extremist or supremacist philosophies, lawlessness, violence, or sexually explicit materials.

The selection process for this position may consist of any, all, or a combination of the following tests:

- Evaluation of training and experience (minimum qualifications)

Passing of oral interview/fingerprints

Truth Verification Exam

Background/criminal record evaluation

Approval by Chief of Police, or designee

Passing of physical/drug/alcohol screening

Never convicted of a felony; or misdemeanor involving perjury, false statement, moral turpitude, or domestic violence.

The selection process for this position may consist of any, all or a combination of the following tests: evaluation of training and experience, written examination, structured oral interview or other assessment method.

State of Emergency: When normal operations of City departments are suspended or interrupted due to a declaration by the Mayor that a state of emergency exists, all employees will be deemed critical by the City. For the preparation and/or continuation of emergency operations or for special work detail, employees deemed necessary shall be required to work. Employees deemed critical by the City but not needed for the initial preparation and/or continuation of emergency operations or for special work detail may be directed not to report to work, and given paid administrative leave or they may be reassigned to another location that best meet the needs of the City.
