Job Overview
Our Front Office Coordinator position is a unique opportunity for a polished, organized, and service-oriented professional who takes pride in creating an exceptional first impression. This role is ideal for someone who excels in a patient-facing environment, values professionalism, and enjoys being an integral part of a high-performing medical team.

As the first point of contact for our patients, the Front Office Coordinator plays a critical role in setting the tone for the entire patient experience. From the moment a patient calls or enters the practice, this individual ensures that every interaction is welcoming, attentive, and reflective of the high standards of our facial plastic surgery and aesthetic practice.

POSITION OVERVIEW
The Front Office Coordinator maintains a positive, calm, and professional environment at both the Reception and Check-Out desks. This role requires strong interpersonal skills, attention to detail, and the ability to multitask gracefully in a fast-paced, high-touch setting. The Front Office Coordinator also provides exemplary telephone service, addressing patient inquiries with confidence, discretion, and compassion.

Beyond patient-facing responsibilities, this position is essential to the smooth daily operation of the practice. The Front Office Coordinator manages appointment scheduling, patient flow, and financial transactions while maintaining accuracy, efficiency, and confidentiality.

KEY RESPONSIBILITIES

Greet patients warmly and professionally upon arrival, ensuring a welcoming and comfortable environment
Provide exceptional customer service at reception and check-out, anticipating patient needs and concerns
Answer incoming phone calls promptly and professionally; address questions, schedule appointments, and route calls appropriately
Schedule, confirm, and manage patient appointments with accuracy and attention to provider schedules
Collect and process payments, review charges, and ensure accurate checkout procedures
Maintain patient records and demographic information with discretion and confidentiality
Coordinate with clinical staff to support smooth patient flow and timely service
Maintain a polished, organized front office and reception area
Uphold patient privacy and HIPAA compliance at all times

Exceptional interpersonal and communication skills, both in person and over the phone
A polished, professional presentation and demeanor
Strong organizational skills and attention to detail
Ability to multitask effectively in a fast-paced environment
Comfort handling financial transactions and sensitive patient information
A calm, compassionate, and patient-focused mindset
Hours of the position are Monday through Friday from 8:00am – 5:00pm. Flexibility for additional hours and coverage occasionally needed.
