Full Job Description

Property Management Administrative Coordinator

An established Long Island real estate management company is seeking a motivated, organized, and professional Property Management Administrative Coordinator to join its team.

This is a full time position supporting the day to day operations of a property management office. The successful candidate will work closely with Property Managers, residents, shareholders, Board members, vendors, contractors, and internal accounting and administrative personnel.

The position is well suited for an individual who enjoys a varied work environment, is comfortable communicating with people, has strong organizational skills, and can manage multiple responsibilities while maintaining attention to detail.

Responsibilities include:

Provide administrative support to Property Managers and the management department
Respond to telephone calls, emails, resident and shareholder inquiries, and general correspondence
Assist with the preparation and distribution of notices, letters, meeting materials, reports, and other property related correspondence
Maintain organized electronic and physical property files and records
Coordinate and follow up with vendors, contractors, residents, shareholders, and building staff
Assist with service requests, work orders, maintenance issues, and other property related matters
Enter and maintain information in property management and office systems
Assist with invoice processing, documentation, and coordination with the Accounting Department
Assist with Board meeting preparation, meeting notices, minutes, and related administrative matters
Track outstanding items and follow up with appropriate parties to ensure matters are addressed
Assist with property inspections, projects, violations, applications, and other administrative aspects of property management
Prepare spreadsheets, correspondence, reports, and other documents as needed
Perform general office and administrative responsibilities as required

Qualifications:

Previous administrative, office, customer service, real estate, property management, accounting, or related experience preferred
Excellent written and verbal communication skills
Strong organizational and time management skills
Ability to prioritize and manage multiple assignments
Professional telephone and email communication skills
Strong attention to detail and accuracy
Proficiency with Microsoft Office, including Outlook and Word. Excel experience is preferred
Ability to learn and work with property management software and other computer systems
Professional demeanor and ability to work effectively with residents, shareholders, Board members, vendors, contractors, and colleagues
Ability to work independently while also functioning effectively as part of a team

Property management experience is helpful but is not required for the right candidate. We are willing to train an individual who demonstrates strong administrative ability, professionalism, initiative, and a willingness to learn.
