Full Job Description

COMPANY OVERVIEW:

POSITION SUMMARY:

We are seeking a detail-oriented and experienced Payroll Specialist to manage and process payroll accurately and efficiently. The ideal candidate will have strong knowledge of payroll processing, payroll taxes, wage and hour regulations, and employee records.

Spanish fluency is required for this position, as the Payroll Specialist will regularly communicate with Spanish-speaking employees regarding payroll, benefits, deductions, timekeeping, and other employment-related questions.

KEY ROLES & RESPONSIBILITIES:

Process weekly/biweekly payroll accurately and on schedule.
Review and verify employee timekeeping, hours worked, overtime, bonuses, commissions, deductions, and other payroll adjustments.
Maintain accurate employee payroll records and ensure changes are properly documented.
Respond to employee questions regarding paychecks, deductions, tax withholdings, direct deposits, and payroll policies.
Communicate effectively with Spanish-speaking employees and assist with payroll-related questions in Spanish.
Process new hires, terminations, promotions, pay changes, and other employee status updates.
Ensure compliance with federal, state, and local payroll laws and regulations.
Assist with payroll tax filings, reconciliations, audits, and year-end reporting, including W-2s and other required forms.
Reconcile payroll reports and identify and resolve discrepancies promptly.
Coordinate with Human Resources, Finance, and management to ensure accurate payroll information.
Maintain confidentiality of employee compensation and personal information.
Stay current on changes to payroll regulations, tax requirements, and company policies.
Assist with payroll-related projects and process improvements as needed.

QUALIFICATIONS:

3+ years of payroll processing experience preferred.
Strong understanding of payroll processes, deductions, taxes, and wage/hour requirements.
Fluent in English and Spanish is required.
Strong attention to detail and excellent organizational skills.
Ability to handle sensitive and confidential information professionally.
Strong analytical and problem-solving skills.
Excellent written and verbal communication skills.
Proficiency with Microsoft Excel and payroll software or HRIS systems.
Ability to meet strict deadlines and manage multiple priorities.
High school diploma or equivalent required; associate or bachelor's degree in accounting, finance, human resources, or a related field is a plus.
Payroll certification such as FPC or CPP is a plus.

PREFERRED EXPERIENCE:

Experience processing payroll for hourly and salaried employees.
Experience working with multi-state payroll.
Knowledge of payroll tax regulations and compliance requirements.
Experience supporting a bilingual or Spanish-speaking workforce.
Experience with payroll systems such as ADP, Paychex, UKG, Workday, or similar platforms.

Pay: $60,000.00 - $75,000.00 per year
