High School Principal Administrative Assistant (52 Weeks)
Terms: 52 Week / Grade 4, 7:00 am - 3:30 pm
Salary Range: $66,781.08 - $73,154.72
Position Summary:
The Administrative Assistant to the Principal serves as the primary operational and confidential support for school leadership. Manages daily high school office operations, coordinates communications between staff, students, and parents, and maintains confidential records under the direct supervision of the principal.
Roles & Responsibilities
Financial & Payroll Management
Budget Oversight & Reconciliation:
Manages departmental budgets and perform regular financial reconciliations to ensure fiscal accuracy.
Assists Principal in the preparation of school budget recommendations, compiles and collates data and related information.
Oversees or performs recording of all school financial transactions, and cash management of available funds.
Monitors operating budget for Windsor High School.
Payroll Administration: Process and oversee staff payroll, including the coordination of bi-annual stipend disbursements.
Bookkeeping: Serve as the primary bookkeeper for WHS, maintaining precise financial records and documentation for student activity accounts.
Administrative Operations & Scheduling
Administrative Coordination:
Organize and maintain an efficient and effective office that handles a variety of tasks for administration, faculty, students and parents of the school.
Performs lead office administrative work in all functional areas of school operations
Advises the Principal on any developments or problems within the district coming to attention and requiring the awareness or action.
Follows up on activities which come about as a result of meetings
Informs the Principal in an efficient manner of telephone calls; records telephone messages accurately; screens calls to obtain pertinent information from caller and handles caller's inquiries within the scope of authority
Screens correspondence and communications requiring Principal's personal attention and prepares replies.
Calendar Coordination:
Maintains the Principal's schedule and office calendar.
Coordinates regular administrative team meetings.
Manage and synchronize comprehensive administrative calendars.
Meeting Coordination: Facilitate administrative meetings by scheduling, preparing materials and tracking attendance.
Interview Scheduling: Coordinate and manage the logistics for candidate interviews and recruitment efforts.
Staff & Human Resources Support
Student Services & Compliance
And any other request of the Principal as she deems fit.
Additional Duties:
Analyzes office and administrative procedures.
Develops procedures to improve workflow and to effect efficiencies.
Participates in professional education secretary organizations, including attendance at conferences and training programs to maintain current in secondary school policies, procedures and technology.
Requirements: Qualifications, Knowledge, Skills, and Abilities:
Education: High school diploma required; associate degree or relevant coursework preferred.
Experience: Minimum of 5 years of secretarial or administrative support, ideally in a public school setting.
Technical Skills: Proficiency in Google Workspace, Student Information Systems (e.g., PowerSchool), Financial Management System (e.g. Munis) and MS Office (e.g. Word, Excel).
Interpersonal Skills: Professional phone etiquette, clear written communication, and patience when interacting with adolescents and parents
License or Certificate: A Connecticut Motor Vehicle Operator's license.
A working knowledge of school administration and related policies, procedures and applicable state and/or federal education laws is required.
Must be able to acquire a working knowledge of Board of Education policies, procedures and educational philosophy.
A working knowledge of government accounting practices is advantageous.
A strong working knowledge of modern office practices, procedures and equipment is required.
Must have executive secretary skills, including word processing and data entry. The level of independence in performing work is high, and must be a self-starter with motivation to be part of a team operation.
Must be able to utilize the school district's email system.
