Full Job Description

Note: The compensation range noted above represents the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range.

Valley Health Systems, Inc., the parent company of Holyoke Medical Center, provides a broad range of physician services in offices conveniently located throughout Western Massachusetts. Holyoke Medical Center is an independent community hospital that has served the healthcare needs of the Pioneer Valley for over 125 years. We continue to grow and address the needs of our community through quality and patient-centered care.

Our Orthopedics Practice is seeking a Surgical Scheduler to coordinate and manage all surgical scheduling functions to ensure accurate, timely, and efficient scheduling of procedures while maintaining compliance with provider, facility, and patient requirements. Provides exceptional customer service and administrative support by assisting office staff, coordinating patient communications, and performing general office duties to support the daily operations of the surgical practice.

Overview of responsibilities include but are not limited to:

Coordinate and schedule surgical procedures, ensuring all required appointments are arranged accurately and efficiently.
Obtain and document insurance prior authorizations and verify coverage requirements for surgical procedures.
Educate patients on pre-operative and post-operative care, providing clear verbal and written instructions.
Communicate with operating rooms, preadmission testing, vendors, and other departments to coordinate surgical care.
Schedule all required pre-operative, post-operative, and follow-up appointments.
Coordinate with primary care providers and specialists to obtain medical clearances and medication instructions prior to surgery.
Prepare, complete, and distribute surgical consent forms and required documentation before scheduled procedures.
Verify post-operative billing and authorization accuracy by reconciling CPT codes and obtaining revised authorizations when needed.
Support office operations by assisting with staff training, providing administrative coverage, and collaborating with the healthcare team.
Participate in meetings, maintain communication with leadership, and perform additional duties, including cross-coverage at other office locations, as assigned.

Qualifications:

Education: High School Graduate or GED

Experience: Two years’ experience in a physician's office or similar environment; experience in Spanish/English medical/health interpreting preferred; experience working with third party payors and working knowledge of ICD-9 and HCPC coding relative to orthopedic surgery preferred

Special Aptitudes & Activities: Demonstrates strong communication, organizational, and interpersonal skills with excellent attention to detail and the ability to manage multiple priorities in a fast-paced healthcare environment. Proficient in computer applications, typing, transcription, filing, and medical terminology, with the ability to accurately follow verbal and written instructions while maintaining effective documentation.
