Job Overview

We are seeking a motivated and detail-oriented File Clerk/Administrator to join our dynamic team. In this vital role, you will be responsible for maintaining organized and accurate filing systems, managing administrative tasks, and providing exceptional customer support. Your energetic approach and strong organizational skills will ensure smooth office operations, efficient data management, and excellent client communication. Duties

Organize, file, and maintain physical and electronic documents with precision and confidentiality
Manage incoming calls using multi-line phone systems, providing courteous and professional customer service
Handle front desk responsibilities, greeting visitors and directing them appropriately
Perform data entry tasks accurately using Microsoft Office applications and specialized software like QuickBooks
Assist with bookkeeping activities, including invoice processing and expense tracking
Support office management functions such as calendar scheduling, appointment setting, and personal assistant duties
Proofread documents for accuracy, ensuring proper formatting and error-free content
Maintain confidentiality of sensitive information while managing client records and internal files

Qualifications

Proven clerical or administrative experience in an office setting with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy
Experience with QuickBooks or similar accounting software is highly desirable
Excellent phone etiquette and communication skills for effective client interaction
Bilingual abilities are a plus to serve diverse client needs
Strong typing speed, data entry accuracy, and proofreading skills
Ability to handle confidential information discreetly and professionally
Prior experience in office management or as a personal assistant is advantageous
Exceptional time management skills to prioritize tasks efficiently
