Executive Assistant & Office Operations Manager

Position Overview

Our growing team is seeking a highly organized, proactive, and dependable professional to provide high-level support to the company President and Executive team, while overseeing daily administrative operations and ensuring the office operates seamlessly. This position reports directly to the CEO.

This role is essential to both executive effectiveness and overall office flow. The ideal candidate will not only ensure the office runs smoothly and efficiently but will also manage executive priorities, communications, and logistics at a high level. This position requires someone who is detail-oriented, tech-fluent, and highly intuitive—someone who anticipates needs, protects executive time, and proactively improves how the office operates.

Executive Administrative Support

Manage executive calendars, scheduling, and meeting coordination
Prioritize and protect executive time by balancing competing demands
Screen, organize, and assist in managing executive email inboxes
Identify priorities
Draft responses when appropriate
Ensure follow-up and organization
Coordinate travel arrangements, itineraries, and scheduling logistics
Anticipate executive needs and ensure preparedness for meetings and commitments
Maintain a high level of discretion and confidentiality in all executive matters

Key Responsibilities

Office Operations & Administrative Coordination

Coordinate daily office operations and administrative activities
Manage office supplies, equipment, and inventory
Maintain organized filing systems (digital and physical)
Coordinate facility needs, office maintenance, and service providers
Act as a point of contact for staff, stores, and vendors
Ensure a professional, organized, and welcoming office environment
Assist with invoice processing, expense tracking, and maintaining store contracts and agreements
Provide oversight and coordination for the maintenance department, ensuring issues are addressed promptly and operations run efficiently

Front Office & First Impression

Serve as the primary point of contact for incoming calls, visitors, and partners
Screen and forward incoming calls with professionalism and discretion
Create a polished, friendly, and professional office experience
Maintain strong phone etiquette and effectively communicate with a range of individuals

Systems, Technology & Process Improvement

Identify inefficiencies or recurring issues and proactively implement solutions
Build and improve systems for office organization, workflow, and communication
Leverage technology to streamline workflows, improve organization, and increase efficiency across both executive support and office operations
Maintain comfort with modern tools and emerging technologies, including AI-assisted tools where appropriate

Team & Organizational Support

Support onboarding and maintain employee records and documentation
Assist with scheduling meetings, appointments, and shared calendars
Provide cross-functional support to ensure smooth internal operations

Qualifications

Previous experience in executive support, administrative support, office coordination, or a similar role preferred
3+ years of relevant experience is ideal; strong candidates with less than 3 years of experience may be considered
Strong attention to detail and problem-solving skills
Strong organizational and multitasking abilities
Excellent written and oral communication and interpersonal skills
Demonstrates excellent phone etiquette, conveying information and ideas clearly and professionally
Proficiency with Microsoft Word, Excel, Outlook, and general office technology
Ability to work independently, prioritize tasks, and exercise sound judgment
Exercises discretion and independent judgment with respect to matters of significance
