Full Job Description

Scentex is an event service company that specializes in curating and orchestrating fragrance for weddings, galas, meetings and events. Our team is on-site at every event creating a scentscape in real-time that perfectly harmonizes with the overall experience. We also offer an interactive station and workshop for events where guests choose their custom fragrance for a reed diffuser that is made on-site..

We are seeking a curious and enthusiastic candidate to assist with administration and event activities. The company is in the start-up phase and there is room for growth. The ideal candidate is a self-starter, tech-savvy, enthusiastic and someone willing to learn.

JOB TYPE : FULL TIME

Administrative Work

Answer telephone and email inquiries and follow up accordingly
Research new suppliers
Sourcing product and purchasing from local and overseas suppliers
Schedule appointments and maintain calendars
Prepare communications, such as emails, proposals, invoices and reports as necessary
Manage inboxes
Reach out to and communicate with event associations for sponsorship and speaking opportunities
Manage social media account
Assist with sales process, researching prospective clients, sending emails, follow-up as necessary
Assist with clients through CRM and CMS software
Design basic marketing materials (logo’d stickers, social posts, etc.)
Write and send monthly emails
Maintain files on scent research
Write and edit documents from letters, to reports, presentations and instructional documents
Create and maintain filing systems, both electronic and physical

Event Related Work

Must be willing and able to travel upon request
Execute events: scentscaping, interactive stations and workshops
Assist and attend events, including set up, tear down, and clean up
Perform any additional items as needed

Requirements

Working knowledge of office equipment, like printers.
Proficiency in MS Office and Google Docs (word documents, spreadsheets and presentations)
Proficiency in Canva or willing to learn (graphic design software)
Proficiency and knowledge of Instagram and Tik-Tok
Ability to prioritize work and work independently
Good written and verbal communication skills
Willing to work long shifts on event days when required

Nice to have

Event planning experience is a plus
Love for attending events
Hospitality experience
Love of fragrance and a strong sense of smell
Love of networking events

Pay: From $22.00 per hour
