Job Summary

The Retreat at Church Ranch is a small, family-owned assisted living community seeking a warm, organized, and dependable Receptionist / HR Coordinator to join our team.

This is not a traditional office receptionist position. Our front desk is at the center of our senior living community, and this person will interact daily with residents, families, employees, healthcare providers, prospective residents, vendors, and visitors. We are looking for someone who genuinely enjoys working with older adults and understands the unique environment of senior living.

Previous experience working in assisted living, independent living, memory care, skilled nursing, or another senior living/healthcare setting is strongly preferred.

In addition to managing front desk operations, this position will provide administrative HR support including employee onboarding, personnel files, recruitment coordination, employee records, and training tracking.

ResponsibilitiesFront Desk & Resident/Family Support

Serve as the welcoming first point of contact for residents, families, visitors, healthcare providers, vendors, and prospective residents.
Answer and direct incoming calls professionally and efficiently.
Assist residents and families with general questions and connect them with the appropriate team member when needed.
Maintain a welcoming, organized, and professional front desk and lobby.
Receive and distribute mail, packages, deliveries, and correspondence.
Maintain awareness of community activities, appointments, visitors, and day-to-day operations.
Assist with tour packets, community information, and other front-office materials.
Maintain resident, employee, and organizational confidentiality.

HR & Administrative Support

Assist with recruitment, applicant communication, and interview scheduling.
Coordinate new-hire paperwork and onboarding.
Create and maintain accurate employee personnel files.
Maintain the current employee roster and other HR tracking systems.
Track employee training, required documentation, certifications, and performance-review dates.
Assist with employee recognition and engagement initiatives.
Maintain spreadsheets, records, forms, and other administrative documents.
Assist with timeclock administration and communicate discrepancies to management.
Provide general administrative support to the Executive Director and department leaders.

What We're Looking For

Previous senior living experience strongly preferred, including assisted living, memory care, independent living, skilled nursing, or a similar healthcare environment.
Previous receptionist, administrative, HR, or customer service experience preferred.
Someone who is warm, patient, and comfortable interacting regularly with older adults.
Excellent communication and customer service skills.
Strong organizational skills and attention to detail.
Ability to balance interruptions and multiple priorities while remaining professional and approachable.
Proficiency with Microsoft Office, Google Workspace, spreadsheets, and general computer systems.
Ability to handle confidential resident and employee information appropriately.
Dependable attendance and punctuality.
Experience with HR administration, employee onboarding, or personnel records is a plus.
