Full Job Description

Job Description:

Procedure schedulers schedule cardiac procedures that are performed by physicians in the hospital setting.

Duties/Responsibilities:

Answer, triage and route multiple phone lines.
Management of high call volume.
Coordinates and schedules heart catheterizations, transcatheter interventions, pacemakers, defibrillators, EP/Ablations, TEE’s, Cardioversions, and structural heart procedures.
Patient facing position- the procedure schedulers are in the office to capture patients and get them scheduled before they leave the office. This maximizes what gets scheduled on a daily basis which directly correlates to better patient care. Procedure Schedulers work at the Heart Center and at satellite offices but do not work remotely.
Sometimes, the scheduling is done over the phone. For example, if the patient had a stress test and was then sent home. A provider would later review the stress test and would then order a heart catheterization and ask that the patient be called to schedule.
Understands physician schedules and what procedures can be performed at differing facilities.
Be able to talk to providers to resolve questions about scheduling or patient concerns.
Manage incoming hospital requests according to set protocol.
Take messages when required and maintain said records of all communications.
Excellent persistent follow-up skills required to continue calling or sending portal messages until the patient is scheduled.
Follow all established call handling protocols provided by the Supervisor.
Scheduling cases correctly, with a minimal number of corrections needed as outlined in manual and communications from the Supervisor.
Assist in any additional clerical duties requested by the Supervisor.
Represents our Practice and Facility to referring Physicians, patients, hospital staff and all other callers, positively and pleasantly.
Respects patient confidentiality and privacy by maintaining the security of all patient communications according to HIPAA regulations.
Identifies patient service requirements by establishing rapport with potential and actual patients.
Gains patient cooperation by reducing anxieties, providing explanations of treatment, and answering questions.
Maintains good customer service when preparing patients for procedures.
Arrange appointments for history and physical with MD if needed, typically by asking the clinical scheduling team.
Schedules appointments for patients to see preop nurses thus ensuring patients receive necessary preop instruction. Maintains rapport with pre-op nurses.
Scans signed consents to patient charts after the preop visit in many instances.
Communicates medication holds listed in the case order to preop nurses. It is not meant for the procedure scheduler to instruct the patient about holds but to communicate the necessary information from the order to the preop nurse. Typically, this communication happens through the Epic procedure scheduling worksheet.
Might help facilitate EKG and lab work as needed if patients are waiting for labs while getting scheduled for a procedure.
Communicates to the authorization team in a timely fashion so they can obtain insurance precertification for procedures.
Ensures compliance with hospital protocols by sending history and physicals, orders, consents, lab work and EKGs to admission areas (this is specific to external facilities- since Advent facilities are all on the same instance of Epic).
Constantly learning about new procedures and protocols and procedures evolve over time.
Troubleshoot potential patient problems and research charts for information about scheduling.

Required Skills/ Abilities:

Excellent organizational and computer skills.
Ability to multi-task, problem solve, and prioritize tasks based on urgency.
Excellent usage of multiphone line system and heavy computer use.
Friendly and professional telephone manner.
Ability to work cooperatively and communicate effectively with others. This includes, but is not limited to, team members, providers, coworkers from other departments, hospital staff, and patients.
Flexibility, promptness, willingness to continue the learning and training process in an evolving field, and desire to be a team player.
Excellent organizational, oral, and written communication skills.
Exceptional attention to detail with emphasis on accuracy, efficiency, and follow-up.

Education and Experience:

High school diploma or equivalent (GED).
Epic experience preferred.
Medical office experience preferred.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
Ability to assist with adult patient in emergencies as needed
Lifting requirements do not exceed 25 pounds

Hours a Week: 40

Compensation: $23-29 hour depending on experience and education
