Full Job Description

Position Overview

The Quality Control Specialist ensures the accuracy, completeness, and compliance of consumer and real estate loan documentation, servicing, and post-closing activities. This role performs quality control reviews, loan maintenance verification, collateral tracking, insurance administration, and servicing support to ensure loans are processed in accordance with Credit Union policies, investor requirements, and regulatory guidelines.

Working closely with Loan Operations, Loan Servicing, Lending, Collections, and other departments, the Quality Control Specialist identifies errors, supports process improvements, and helps maintain quality throughout the loan lifecycle.

Key Responsibilities

General Quality Control & Assurance

· Perform pre-funding, post-closing, and ongoing quality control reviews of consumer and residential mortgage loan files to ensure accuracy, completeness, and compliance with Credit Union policies, investor requirements, and applicable federal and state regulations.

· Verify loan documentation, underwriting information, disclosures, collateral, servicing data, and loan maintenance transactions to ensure accuracy and consistency throughout the loan lifecycle.

· Identify documentation deficiencies, compliance issues, processing errors, and operational risks; coordinate corrective actions with appropriate departments to ensure timely resolution.

· Document quality control findings, monitor trends, and recommend process improvements to strengthen operational quality, reduce risk, and support regulatory and investor compliance.

· Review early delinquency accounts to identify potential Credit Union processing errors.

Collateral & Title Administration

· Review vehicle loan files to ensure collateral documentation is complete and accurate.

· Verify titles and liens have been properly perfected through Vitu or other applicable systems.

· Monitor outstanding title issues and work with appropriate departments to resolve discrepancies.

Insurance Administration

· Review daily and weekly Allied reports.

· Contact insurance companies and members to obtain updated insurance information.

· Upload insurance documentation into Allied.

· Coordinate with the Loan Servicing team regarding lender placed insurance (LPI) when necessary.

· Maintain accurate insurance records on secured loans.

Loan Servicing Support

· Process paid loan reports.

· Retrieve paid loan files and prepare them for filing.

· Coordinate filing with Loan Servicing Specialists.

· Prepare and mail paid loan documents as required.

Other Responsibilities

· Cross-train within Loan Operations and Loan Servicing functions.

· Assist with special projects and department initiatives.

· Provide backup support for Loan Servicing staff as needed.

· Perform other duties as assigned.

· Attend electronic services related webinars & trainings.

Qualifications

· High school diploma or equivalent required; Associate's degree preferred.

· Minimum of two years of lending, loan servicing, quality control, or financial institution experience preferred.

· Knowledge of consumer lending, real estate lending, and loan servicing practices.

· Familiarity with lending regulations and compliance requirements.

· Experience with core processing systems and loan documentation software preferred.

· Strong attention to detail and organizational skills.

· Ability to identify discrepancies and resolve issues independently.

· Excellent written and verbal communication skills.

· Proficiency with Microsoft Office, including Excel, Word, and Outlook.
