Full Job Description

Position Summary

The Member Services Coordinator / Administrative Assistant is responsible for delivering exceptional customer service while supporting the daily operations of the Wheaton Chamber of Commerce. This position serves as the first point of contact for members, prospective members, visitors, and community partners while managing administrative operations, membership services, office coordination, and executive support.

The ideal candidate is organized, personable, proactive, and passionate about helping local businesses succeed. This role plays a critical part in member retention, operational efficiency, and creating a welcoming Chamber experience.

Primary Responsibilities

Membership Services

Serve as the first point of contact for members and prospective members.
Welcome and onboard new Chamber members.
Coordinate new member orientations.
Maintain regular communication with members through calls, emails, and in-person visits.
Work with Chamber Champions committee
Assist committees with speakers, meeting needs, and agendas
Assist members in utilizing Chamber benefits.
Assist, coordinate and schedule ribbon cuttings
Coordinate membership renewals and follow up on unpaid invoices.
Track member engagement and identify opportunities for increased involvement.
Conduct member satisfaction check-ins and exit interviews.
Assist with membership recruitment and referrals.
Maintain accurate member profiles in Chamber Mate

Administrative & Office Operations

Manage front desk and greet visitors professionally.
Answer and direct incoming phone calls and emails.
Maintain office supplies and place orders as needed.
Process incoming mail and distribute accordingly.
Prepare deposits and process member payments.
Maintain electronic and physical filing systems.
Schedule conference room reservations.
Assist with general office organization and upkeep.
Coordinate office vendors and service providers.
Prepare correspondence, reports, and documents.
Assist with special projects assigned by the President & CEO.

Executive Support

Provide administrative support to the President & CEO.
Assist with scheduling meetings and appointments.
Prepare committee meeting materials.
Maintain calendars and meeting logistics.
Take meeting notes when requested.
Prepare reports for Board meetings.
Assist with annual budgeting and membership reporting.
Help coordinate strategic initiatives and projects.

Member Database Management

Maintain ChamberMate database.
Process new memberships.
Process membership renewals.
Update contact information.
Manage business category listings.
Generate membership reports.
Track membership statistics.
Maintain accurate billing records.
Ensure database accuracy and completeness.

Event Support

Assist with planning and execution of Chamber events including:

Good Morning Wheaton
Business After Hours
Business Before Hours
Monthly Luncheons
Women in Business
Young Professionals
Trades Connect
Nonprofit Committee
Annual Golf Outing
Cream of Wheaton Business Expo
Annual Gala
Member Orientations

Responsibilities include:

Registration management
Name badge preparation
Event check-in
Room setup and teardown
Sponsor support
Vendor communication
Attendance tracking
Event follow-up
Survey distribution
Maintaining event supplies

Respond to member inquiries within one business day.
Send welcome emails to new members.
Assist with renewal reminders.
Coordinate member announcements.
Share member milestones with marketing staff.
Update event registrations.
Assist with Chamber correspondence.

Financial & Administrative Support

Process membership invoices.
Record payments.
Prepare bank deposits.
Assist with accounts receivable tracking.
Monitor outstanding renewals.
Prepare financial reports as requested.
Assist with annual membership billing.

Qualifications

Required

Excellent customer service skills
Strong interpersonal and communication skills
Highly organized and detail-oriented
Ability to prioritize multiple projects
Professional phone and email etiquette
Strong computer skills including Microsoft Office and Google Workspace
Ability to work independently
Positive, team-oriented attitude

Preferred

ChamberMaster or CRM experience
Administrative office experience
Customer service experience
Event coordination experience
QuickBooks or bookkeeping experience
Experience working with nonprofit organizations or membership associations

Pay: $17.00 - $20.00 per hour
