Full Job Description

Under the direction of the Illinois Supreme Court, the ARDC registers and supports attorneys, produces and delivers innovative education and outreach programs, and provides restorative services. Through thorough investigations of complaints and fair proceedings, we address allegations of attorney misconduct and unauthorized practice of law. We ensure accountability while also advocating for those harmed by misconduct.

Currently, the ARDC is seeking a detail-oriented and dedicated Deputy Clerk. The Deputy Clerk will assist in receiving, keeping and maintaining the files, pleadings, records, documents, evidence and other papers of the Hearing and Review Boards of the Attorney Registration and Disciplinary Commission. Maintaining a knowledgeable understanding of the Commission Rules and Rules of the Supreme Court of Illinois in relation to all Hearing and Review Board matters and assisting in office management.

Key Responsibilities

Assist in accepting, recording, filing and electronically filing all motions, pleadings, evidence, orders, notices and reports and checking for compliance with Commission Rules and Rules of the Supreme Court of Illinois for all matters pending before the Hearing and Review Boards and the Supreme Court in attorney disciplinary and reinstatement cases
Assist in publishing complaints, petitions, reports and decisions on the Commission’s website and verify the accuracy of the schedule of hearings
Support board operations by coordinating meetings, schedules, materials and communications and preparing and filing written orders and notices and serving same on the parties of record
Responsible for contacting panel members for their availability to serve on hearings and providing the necessary documentation and instructions in preparation of the scheduled hearing
Prepare certified records in compliance with the Supreme Court’s Standards and Requirements for Electronic Filing the Record on Appeal
Responsible for providing information and distribution of documents relating to case matters by way of telephone, e-mail, website and certify document requests
Responsible for scheduling Microsoft Teams meetings for all remote hearings and scheduling court reporters for in-person hearings
Create electronic Clerk’s files for distribution in Box.com for hearings, public requests and transcription write-up, and download to iPad, when necessary
Facilitate the exhibit exchange process by providing links to the parties to upload their exhibits, reminders, downloading to Commission iPads for in-person hearings, and conclusionary steps in saving the official evidence to the record
Delete pre-hearing conference recordings quarterly and print calendar event sheets at the conclusion of a matter
Manage the Clerk’s Office in the absence of the Clerk and daily monitoring work product.

Qualifications and Desired Skills

Bachelor's degree or related work experience
A minimum of 5+ years of experience as a deputy clerk or legal administrative experience
Excellent communication and interpersonal skills, with the ability to interact with diverse groups of people
Previous experience in a fast-paced environment
High attention to detail, organization, and time management
Proficiency in MS Office Suite, Adobe Acrobat Pro, and case management or legal document management systems
