Initial Term: Six (6) Month Independent Contractor Agreement
Average Schedule: Up to 10 hours per week, based on organizational needs.
Compensation: Hourly rate commensurate with experience ($17.00–$20.00/hour), plus performance-based commissions and discretionary bonuses based on organizational needs, available funding, expanded responsibilities, and demonstrated performance.
Performance Reviews: Formal performance reviews will be conducted at 90 days and again at the conclusion of the initial six-month engagement.
Position Summary: Music Memory Lane is seeking an organized, proactive, and mission-driven Operations & Community Engagement Assistant to help strengthen the day-to-day operations of our growing nonprofit organization.
Working closely with the Executive Director, this individual will help coordinate organizational operations, community outreach, volunteer engagement, grant administration, program support, and executive projects while serving as an ambassador for Music Memory Lane's mission.
The ideal candidate enjoys creating systems, solving problems, building relationships, taking initiative, and helping older adults experience greater joy, dignity, and connection through music and movement.
This position is designed to grow with the organization. As Music Memory Lane expands, additional leadership responsibilities and advancement opportunities may become available.
Primary Responsibilities: As a growing nonprofit organization, responsibilities may evolve over time based on organizational priorities, funding, and strategic initiatives. The Operations & Community Engagement Assistant is expected to demonstrate flexibility, initiative, and a willingness to support the organization's changing needs.
1. Administrative Support
- Organize and maintain electronic and paper filing systems.
- Maintain organizational templates, forms, and shared documents.
- Maintain accurate digital files, cloud storage, and organizational assets, including photos, videos, and documents.
- Track recurring organizational deadlines and compliance requirements.
- Assist with contractor onboarding and documentation.
- Coordinate signatures and required forms.
- Order office and program supplies.
- Maintain confidentiality of organizational information.
- Assist with maintaining organizational dashboards, records, impact metrics, and key organizational data.
2. Operations & Project Coordination
- Help improve organizational systems, workflows, and operational efficiency.
- Prepare internal progress updates and project status reports.
- Maintain operational procedures, manuals, and organizational files.
- Assist with Board meeting preparation and follow-up.
- Coordinate logistics across contractors, volunteers, and organizational partners.
- Research nonprofit resources, capacity-building opportunities, and organizational best practices.
- Assist with sponsorship materials, partnership packets, and strategic initiatives.
- Recommend workflow improvements and assist with implementing new systems and technology that support organizational growth.
3. Executive Support
- Assist the Executive Director with special projects.
- Conduct internet and community research.
- Track priorities and help manage competing deadlines.
- Coordinate follow-up from networking meetings.
- Assist with travel and meeting logistics when needed.
- Serve as a trusted administrative partner to maximize Executive Director effectiveness.
4. Community Outreach & Relationship Management
- Conduct follow-up communications with prospective clients, senior communities, partners, donors, sponsors, and referral sources.
- Schedule meetings, presentations, and program demonstrations.
- Maintain CRM and contact databases.
- Track outreach activities, follow-up communications, and next steps.
- Coordinate thank-you correspondence.
- Research prospective community partners and sponsorship opportunities.
- Help cultivate long-term organizational relationships.
- Maintain the Executive Opportunity Pipeline by tracking partnerships, sponsorship prospects, donor cultivation, speaking opportunities, podcast guest outreach, networking follow-up, and next-action reminders until opportunities are completed or closed.
5. Grant Administration & Submission Support
Working under the direction of the Executive Director and grant consultant:
- Maintain the annual grant calendar.
- Monitor grant deadlines and requirements.
- Prepare grant application drafts using Music Memory Lane's approved grant library and organizational narratives.
- Assemble grant application packets.
- Upload required documents into grant portals.
- Coordinate collection of attachments and supporting documentation.
- Verify application completeness and compliance.
- Submit grant applications after Executive Director approval.
- Maintain grant tracking spreadsheets.
- Organize grant award and decline documentation.
- Assist with grant reporting requirements.
6. Program & Event Coordination
- Coordinate logistics for Music Memory Lane programs and events.
- Confirm event details with partner organizations.
- Prepare supplies and materials.
- Assist with volunteer scheduling.
- Provide occasional on-site event support.
- Track attendance and evaluation forms.
- Assist with setup and breakdown.
7. Community Engagement & Impact Storytelling
- Attend selected Music Memory Lane sessions to photograph and video programs.
- Capture meaningful moments demonstrating participant engagement.
- Collect testimonials from participants, caregivers, volunteers, and partners.
- Organize photo and video assets for grants, marketing, annual reports, and social media.
- Assist in documenting organizational impact and program outcomes.
- Support Jr. Flashback Squad activities and community engagement initiatives.
- Help represent Music Memory Lane professionally throughout the community.
8. Team Coordination & Volunteer Leadership
- Recruit, interview, onboard, and support volunteers, interns, and Jr. Flashback Squad members.
- Build relationships with local high schools, colleges, universities, and community organizations to recruit volunteers and student ambassadors.
- Recruit students interested in musical theater, dance, music, communications, education, psychology, social work, recreation therapy, nonprofit leadership, and related fields.
- Coordinate volunteer schedules and assignments.
- Assist with volunteer orientation and training.
- Serve as the primary point of contact for volunteers before and after programs.
- Track volunteer participation and service hours.
- Coordinate volunteer recognition initiatives.
- Help identify future volunteer leaders and community ambassadors.

Performance Incentives
The Operations & Community Engagement Assistant may be eligible for additional compensation through:
- $35 Client Acquisition Bonus for each new client who books and completes their first paid Music Memory Lane session as a direct result of the Assistant's outreach efforts.
- Performance bonuses for exceptional contributions, including volunteer recruitment, sponsorship development, successful special projects, operational improvements, community engagement initiatives, or other organizational achievements at the Executive Director's discretion.
- Opportunities for increased hours, expanded responsibilities, and additional leadership opportunities as Music Memory Lane grows.

Success in this role means creating the organizational structure, systems, and relationships that allow Music Memory Lane to grow its impact while enabling the Executive Director to focus on strategic partnerships, fundraising, speaking, business development, and organizational leadership.
This position plays a vital role in helping Music Memory Lane restore joy, dignity, and connection for older adults while strengthening communities through music, movement, storytelling, and intergenerational engagement.
