Susie's Place, a 501c3 nonprofit is seeking a detail-oriented individual with exceptional Excel skills to help us protect kids.

Lead Administrative Coordinator – Federal/State Grants

Job Description

Job Title: Lead Administrative Coordinator – Federal and State Grants

Reports To: Chief Executive Officer (CEO)

Agency: Susie’s Place Child Advocacy Centers

Location: Avon

Salary: Part-time non-exempt position at a rate of $20-22 per hour to be reviewed annually from the date of hire. 22 hours per week.

Lead Administrative Coordinator – Federal/State Grants Definition: Reporting directly to the CEO, this position is primarily responsible for accurately entering, updating, and maintaining grant-related fiscal and program data in internal/external databases and tracking systems, preparing and submitting federal and state grant invoices, as well as drafting reports within external reporting systems.

Essential Duties and Responsibilities:

· Manage state and federal grant reporting through bookkeeping classifications.

· Complete both grant worksheets and documentation uploads for state and federal grants in adherence with monthly deadlines.

· Create reports as needed.

· Manage all documentation of fiscal expenditures for grants.

· Upload all invoices and supporting documentation into accounting systems.

· Work closely with in-house accountant and outsourced financial firms for accurate data tracking and grant budget management

· Maintain digital records with accurate data entry for funding applications, award spend down, reporting requirements

· Assist in administrative tasks for CEO and others as time allows

· Performs other duties as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and be able to attend required trainings/meetings, have a valid driver's license with proof of minimum state required auto insurance, and successfully pass a criminal history check. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience

Bachelor's degree preferred. Strong knowledge of federal grant funds and their requirements (including, but not limited to Victims of Crime Act, Department of Child Services contracts, and National Children’s Alliance funding). Minimum of 4 years experience in bookkeeping, accounting administrative support, and/or financial office support required with at least one year working predominantly in Excel. Advanced knowledge of spreadsheets and experience in accurate data entry required. Proficient computer skills, communication skills, and organizational skills needed. Must be able to function independently, but support management and financial staff.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit; use hands to manipulate, handle, or feel; and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand, walk, climb stairs, or balance. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus, distance vision, peripheral vision, and depth perception. Ability to see and manipulate a computer and other standard office equipment.
