The incumbent in this position provides recruitment to SCR in the day-to-day activities of the hospital. Serves as the back-up HR contact for internal and external customers for customer service queries. The incumbent of this position receives general direction from the Director of Human Resources and is expected to establish plans, develop methods and schedules for completion of the work within the guidelines established by state and federal statutes and regulations, agency policies and procedures.
Recruitment and Retention
Serves as a backup to the HR Recruiter. Attends and works with a variety of sources to advertise and recruit for vacancies including but not limited to online advertising, career fairs and other community/local events. Serves as an EEO representative and assists as needed on interview committees. Assists in closing positions in SHARP and interview packets as needed, assuring interview packets are complete and in order, calls for references and interview times.
Kansas Learning and Management Process System (KLPM)
Incumbent is the primary contact for the KLPM system. Works in conjunction with the Human Resource Director on all aspects of the KLPM system. Provides individualized training, consultation, guidance, and assistance to new managers on the KLPM system. Develops and presents training for SCR staff and supervisors. Update and maintain tracking for SCR staff of completed, past due reviews and provide status reports as requested by Human Resources Director. Works with the Human Resources Director, in establishing practices and processes concerning the KLPM system. Updates the Human Resources Director on any changes to the KLPM system. Sends PRF due notifications routinely to supervisors. Reviews for completeness and accuracy. Collects and aggregates data for tracking supervisor’s Performance Review process in KLPM. Develops and maintains tracking and notification list of PRFs due for Annual, Probationary and Special PRFs. Continually send out notifications for missing documents to SCR Management. Provides routine updates and status reports to the HR Director and SCR Superintendent as needed.
Security Clearance/Background Check (Fingerprints)
The incumbent inputs applicant and employee data into KDADS’ Web Apps for security clearance. Once KDADS’ central office receives information on the applicant/employee’s security clearance determination the incumbent generates a notification letter from Web Apps to inform the applicant/employee of his/her of their security status. If there is evidence of criminal history the incumbent notifies SCR HR Manager and Superintendent so they can decide on the applicant/employee. When fingerprints are needed, the incumbent will fill out the necessary paperwork and take the fingerprints.
Records Management
Responsible for ensuring agency files are complete and contain necessary employment documents in accordance with internal agency guidelines and recommendations. Works with HR personnel, employees, and SCR Management to gather and collect documents missing from file. Ensures employee personnel files are complete. Conducts periodic evaluations of records management activities within Human Resources.
Completes special projects and performs other duties as assigned including but not limited to ensuring the agency is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism. Assists other employees in the work unit in accomplishing assignments as necessary.
- Two years of experience in general office, clerical and administrative support work.
- One year of experience in recruitment, with exposure to the State of Kansas program SHARP.
- Must be able to pass a background check prior to employment.
