Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant and Receiver to join our team. The ideal candidate will provide essential support to our office operations, ensuring smooth day-to-day activities. This role requires excellent communication skills, proficiency in various software applications, and the ability to manage multiple tasks efficiently. The Administrative Assistant will serve as the first point of contact for clients and visitors, embodying professionalism and a welcoming demeanor.

Duties

Receive orders with accuracy, attention to detail, and organization.
Obtain and file electronically credit card receipts for multiple accounts.
Maintain organized filing systems for documents and records, ensuring easy access and retrieval.
Assist with scheduling appointments and managing calendars for team members.
Perform data entry tasks using Google Suite and QuickBooks for financial tracking.
Proofread documents for accuracy and clarity before distribution.
Support various administrative tasks as needed, including correspondence preparation and office organization.
Collaborate with team members to improve office processes and enhance efficiency.

Requirements

Previous experience as a bookkeeping assistant or administrative assistant, or in a similar administrative role is required.
Previous experience in a warehouse or receiving position is a plus.
Strong computer literacy skills are required - including proficiency in Google Suite applications (Docs, Sheets, etc.) and QuickBooks.
Excellent phone etiquette with strong verbal communication skills and professionalism.
Attention to detail with strong proofreading abilities to ensure high-quality documentation.
Ability to manage time effectively and prioritize tasks in a fast-paced environment.
A proactive approach to problem-solving with strong organizational skills.
