Full Job Description

The Arts Council Wichita Falls seeks a highly organized, detail-oriented Financial & Administrative Coordinator to oversee the organization’s day-to-day financial and administrative operations. This position plays a vital role in maintaining the financial health and operational efficiency of the organization while supporting our mission to enrich the community through the arts.

This is a part-time position (20–25 hours per week) offers a flexible work arrangement. Depending on the candidate's qualifications, experience, and availability, the role may be performed fully on-site or in a hybrid schedule that combines in-office and remote work. The specific schedule will be developed collaboratively with the CEO to support both organizational needs and the employee's work style. Regular on-site attendance is required for meetings, financial processing, payroll, audits, and other responsibilities that require an in-office presence.

Key Tasks and Responsibilities:

Financial Management:

o Prepare month-end close, maintain general ledger and account reconciliations, and

produce financial reports for Board and committee review

o Manage accounts payable and receivable, including invoicing, collections, and timely

payment of obligations

o Assist with departmental budget development and financial tracking against approved

budgets, communicating with Program Coordinator and CEO

o Coordinate documentation and schedules for the annual external audit and IRS Form

990, serving as the primary staff liaison to auditors

o Track restricted funds for grant and donor-restricted gifts

o Assist grants team in creating budgets for grant applications and responses

o Manage financial elements of fundraising events

Human Resources:

o Administer bi-monthly payroll and monthly teacher payments

o Assist with onboarding processes and employee documentation

o Prepare annual W2s and 1099s for employees and contract workers

o Track annual PTO accruals and usage, retirement plan contributions, and payroll tax

reporting

o Personnel file management & compliance

Administrative Operations:

o Maintain financial policies and internal controls

o Ensure compliance with nonprofit accounting standards and applicable regulations

o Manage business insurance renewals and related documentation

o Assist with contract administration and record retention

o Support organizational compliance, licenses, and annual filings

o Maintain confidential financial and personnel information

Organizational Support:

o Support board and committee meetings through financial reporting

o Identify opportunities to improve financial systems and administrative processes

o Support Arts Council special events, fundraisers, and programming activities as needed

o Provide in-person, voice, and electronic communication for general inquiries about

buildings and/or the organization

o Participate in relevant professional development and networking opportunities as

available

o Perform other duties as assigned

Pay: $24.00 - $28.00 per hour
