Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This role combines essential bookkeeping responsibilities with comprehensive administrative support, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be highly organized, experienced with QuickBooks, tech-savvy, and possess excellent communication skills. You will play a vital role in managing daily office functions, handling client interactions, and maintaining precise financial data to support our company's growth and efficiency.

Duties

Manage accounts receivable and payable using QuickBooks, ensuring timely invoicing and payments
Perform data entry with high accuracy, maintaining organized spreadsheets and financial records
Handle front desk duties including greeting visitors, answering multi-line phone systems, and directing calls professionally
Support office management tasks such as filing, document proofreading, and calendar management
Assist with client communication via phone, email, and in-person interactions while providing exceptional customer service
Coordinate appointment scheduling for staff and manage calendar updates.
Maintain office supplies inventory, organize files, and ensure the office environment is efficient and welcoming

Experience

Proven clerical experience with strong computer literacy across Microsoft Office Suite (Word, Excel), Google Workspace, and other productivity tools
Prior experience in bookkeeping or accounting using QuickBooks or similar software is required
Demonstrated ability to handle multi-line phone systems with professionalism and courtesy.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Excellent time management skills coupled with attention to detail for proofreading, data entry, and filing tasks
