Full Job Description

Title: Executive Assistant to the President.

Salary: 55K-65K

Type: Full-Time

Job Summary:

The Executive Assistant to the President provides office management, reception, and a high level of administrative assistance and support for the President of the College. In that capacity, the Executive Assistant helps to provide a busy and highly visible senior executive the structure and support needed to carry out effectively his multiple responsibilities.

The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President and senior management teams. In that regard, the Executive Assistant often serves as the first face or voice of the College for a variety of constituents including students, parents, trustees, donors, alumni, and friends of the College.

The Executive Assistant provides exceptional meeting planning support for the President and the senior executive team. Specifically, the position is responsible for staffing the Presidents Cabinet meeting and for providing meeting support to various meetings that the President leads or in which he is involved. Meeting responsibilities include, but are not limited to coordinating invitation and attendance, distributing agenda and materials, recording minutes, and coordinating follow-up actions.

The Executive Assistant coordinates events involving the President. Such coordination may include taking the lead in organizing catering, invitations, and logistics for events led by the President Office or coordinating with others on aspects of the Presidents participation at events not led by the Presidents Office.

The Executive Assistant coordinates with the Office of Marketing and Communications, the Board Liaison, and other stakeholders in crafting and disseminating communications from the Presidents Office.

Supervisory Responsibilities:

May Be assigned supervisory duties from time to time.

Duties/Responsibilities:

Serves as a receptionist and provides a physical presence for the Office of the President.

Provides a broad variety of administrative tasks for the Office of the President including general office management for the Presidential office suite.

Submits and follows up on work orders and purchase orders.

Manages an extremely active calendar of appointments, travel, meetings, lunches, and special events.

Coordinates the logistical aspects of the Presidents participation in activities and events on- and off-campus.

Composes and prepares correspondence and memos that may be confidential and reflect the tone of the Office of the President.

Organizes and establishes the workload and priorities of the office, and handles sensitive and confidential information with the highest level of professionalism.

Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.

Determines appropriate course of action, referral or response.

Prioritizes conflicting needs, handles matters expeditiously, and follows through on projects to successful completion, often with deadline pressures.

Retrieves and delivers mail.

Performs basic bookkeeping functions including processing check requests and invoices. Monitors the expenses against several budgets related to the Office of the President.

Participates as a member of the Executive Team, including scheduling meetings, attending all meetings, preparing the agendas, and maintaining minutes of Senior Management Team meetings.

Attends all Board meetings and coordinates with the Board Liaison on the logistical aspects of Board meeting preparation and follow-up activities.

Other duties as may be assigned by the President.

Minimum Requirements:

Ability to work and to troubleshoot independently, exercising good judgment in a variety of situations.

Strong written and verbal communication to diverse populations.

Demonstrated administrative and organizational skills.

Ability to perform and prioritize multiple tasks with excelling attention to detail.

Very strong interpersonal skills and the ability to build relationships with stakeholders, including faculty, staff, students, board members, external partners and donors.

Ability to work with calm under pressure.

Ability to initiate, anticipate, and respond to requests in a timely manner.

Ability to be trusted with highly sensitive and confidential information and to use discretion and sound judgment in handing such information.

Ability to work collaboratively and effectively with others.

Proficiency with MS Office and ability to learn College systems.

Ability to work as a team player as well as independently with minimal supervision.

Excellent time management skills to ensure that multiple competing priorities and tasks will be handled appropriately and accomplished in a timely, accurate fashion.

Calm, friendly, professional manner.

Ability to maintain a high standard of accuracy in creating and maintaining data, records, and report information.

Ability to operate standard office equipment.

Must be dependable and able to work a flexible schedule outside normal business hours which may on occasion involve evening and/or weekend work.

Knowledge and commitment to the mission of the College.

Education and Experience:

Bachelor degree Preferred.

Five (5) to (7) years' experience supporting executive level management, preferably in higher education.

Physical Requirements:

Requires an equal amount of standing, sitting, walking, bending, stooping, climbing multiple levels of stairs, light lifting, near vision and manual dexterity to perform essential functions.

Requires the ability to travel between buildings on campus with exposure to inclement weather conditions.

May require driving or traveling to locations in the local and outside the local area on official College business.
