Full Job Description

Job Overview

Our Clinic is seeking a compassionate, organized, and detail-oriented Front Office Coordinator / TMS Technician to join our outpatient mental health practice. This position plays an important role in supporting both our patients and clinical team by providing exceptional front office coordination while assisting with Transcranial Magnetic Stimulation (TMS) treatments.

The ideal candidate will be responsible for managing daily administrative operations, including patient scheduling, phone communication, insurance verification, prior authorizations, payment collection, and maintaining accurate patient records. In addition, this role will assist with TMS treatment sessions by preparing patients, operating TMS equipment under clinical supervision, documenting treatment information, and ensuring a comfortable and supportive patient experience throughout the treatment process.

The successful candidate will have excellent communication skills, strong attention to detail, the ability to multitask in a fast-paced healthcare environment, and a commitment to patient care, confidentiality, and professionalism.

Experience in a medical, behavioral health, psychiatric, or outpatient healthcare setting is strongly preferred.

Duties & Responsibilities

Serve as the first point of contact for patients, providing a welcoming, professional, and compassionate experience.
Answer and manage incoming phone calls, assist patients with questions, and route calls appropriately.
Schedule, reschedule, and confirm patient appointments while maintaining accurate provider schedules.
Check patients in and out, collect copays, deductibles, self-pay payments, and outstanding balances.
Verify insurance eligibility and benefits and update patient insurance information as needed.
Obtain and process insurance prior authorizations for medications, treatments, and services.
Assist patients with intake paperwork, forms, and required documentation.
Maintain accurate patient records and update information in the electronic health record (EHR) system.
Coordinate communication between patients, providers, pharmacies, insurance companies, and referral sources.
Process incoming and outgoing faxes, medical records requests, referrals, and other patient-related correspondence.
Follow HIPAA regulations and maintain strict confidentiality of all patient information.
Assist with daily front office operations to ensure an efficient and organized clinical environment.
Communicate professionally and respectfully with patients, families, providers, and staff.
Support additional administrative tasks as needed to promote smooth practice operations.

Required Experience

Minimum of 2 years of medical front office experience in a physician's office, outpatient clinic, behavioral health practice, or similar healthcare setting.
Scheduling patient appointments using an electronic health record (EHR) system.
Answering and managing a high-volume, multi-line phone system.
Verifying medical insurance eligibility and benefits.
Obtaining and tracking insurance prior authorizations.
Collecting copays, deductibles, and patient balances.
Working with electronic health records (EHR/EMR).
Handling confidential patient information in accordance with HIPAA regulations.
Strong customer service and patient communication skills.
Excellent organizational skills with the ability to multitask in a fast-paced environment.
Proficiency with Microsoft Office (Outlook, Word, Excel) and general computer applications.
Strong attention to detail and accuracy in documentation and data entry.
High school diploma or equivalent required
