Accounting Operations Specialist (AP & AR) –

Hybrid Reports to: Controller

Employment Type: Full-Time (Eligible for Overtime)

Location: Gainesville, Florida

Hybrid (remote + in-office)

Position Overview

We are seeking a detail-oriented, dependable, and customer-focused Accounting Operations Specialist to support both Accounts Payable (AP) and Accounts Receivable (AR) functions across multiple companies. This role works closely with the Controller and internal teams to ensure accurate financial processing, strong internal controls, and excellent service to vendors and customers.

This position is ideal for someone who enjoys structured accounting work, values accuracy, communicates well with both internal teams and external partners, and thrives in a collaborative environment. The role is part of a defined career progression track toward Staff Accountant, with opportunities to grow into journal entries, reconciliations, and financial reporting responsibilities based on performance and business needs.

Core Responsibilities – Accounts Payable (AP)

Process vendor invoices accurately and in a timely manner, ensuring proper coding and approvals
Prepare and process check runs, ACH, and wire payments
Maintain vendor files, W-9s, and payment information
Reconcile the accounts payable subledger to the general ledger
Manage company-issued credit cards and reconcile monthly statements
Manage third-party contracts and related invoices
Assist with month-end and year-end close activities related to AP
Resolve vendor inquiries, discrepancies, and payment issues
Assist with 1099 preparation and reporting
Support audits by providing documentation as requested

Core Responsibilities – Accounts Receivable (AR)

Lead invoicing activities and issue customer invoices
Process and post customer payments daily (checks, EFT/wires, credit cards)
Manage A/R collections and review aging reports
Investigate and resolve billing discrepancies with internal teams and customers
Respond promptly to customer phone calls, emails, and billing inquiries
Maintain accurate customer data, payment terms, and contact information
Prepare A/R reports and summaries for internal review
Coordinate with collections agencies when necessary

Shared / Cross-Functional Responsibilities

Assist with monthly close activities for both AP and AR
Ensure compliance with company policies, internal controls, and accounting procedures
Support sales, customer service, and customer success teams with billing-related questions
Maintain confidentiality of financial and customer information
Participate in team meetings, training, and process improvement initiatives
Identify and recommend process improvements and automation opportunities
Help maintain clean financial data to support accurate reporting and forecasting
Provide coverage across AP/AR during vacations or peak periods
Perform other accounting and administrative duties as assigned

Qualifications

Authorized to work in the United States
Associate’s degree in Accounting, Finance, or related field required; Bachelor’s preferred
2+ years of experience in accounting, AP, AR, or related roles
Experience working in multi-company or multi-entity environments is a plus
B2B customer-facing experience preferred
Working knowledge of basic accounting principles
Experience with accounting/ERP systems (NetSuite or similar preferred)
Experience with CRM systems is a plus
Proficiency in Microsoft Excel, Word, PowerPoint, and shared tools (SharePoint, Google Docs)
Strong attention to detail and accuracy
Excellent organizational and time-management skills
Strong written, phone, and interpersonal communication skills
Ability to handle confidential information with discretion
Ability to work independently in a hybrid environment
Strong follow-through and ownership of assigned responsibilities

Pay: $22.00 - $28.00 per hour
