Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that our office runs smoothly, efficiently, and professionally. Your energetic approach and exceptional organizational skills will support various administrative functions, enhance communication, and foster a welcoming environment for clients and staff alike. Duties

Manage front desk operations, including greeting visitors
Oversee office management tasks such as filing, data entry, maintaining supplies, and ensuring the office environment is organized and welcoming
Utilize productivity software like Microsoft Office (Word, Excel, Outlook) and Google Workspace to prepare documents, spreadsheets, and correspondence
Handle calendar management and scheduling for meetings, appointments, and events with precision and efficiency
Provide excellent customer service by supporting client communication, responding to inquiries promptly, and assisting with customer support needs
Perform bookkeeping duties using QuickBooks or similar accounting software to manage invoices, payments, and financial records
Support administrative tasks related to medical or dental reception duties if applicable, including appointment scheduling and patient record management
Maintain accurate records through proofreading documents, data entry, filing systems, and database updates
Assist with personal assistant responsibilities such as travel arrangements or special project coordination as needed

Qualifications

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools (Docs, Sheets), and familiarity with productivity software
Experience using QuickBooks or similar bookkeeping software is highly desirable
Excellent organizational skills with keen attention to detail; ability to prioritize tasks effectively
Strong computer literacy including data entry, word processing, spreadsheets, and general technical proficiency
Exceptional customer service skills coupled with professional phone communication and phone etiquette
Previous experience in front desk operations or medical/dental receptionist roles is advantageous
Ability to handle multiple responsibilities simultaneously while maintaining a positive attitude
Demonstrated time management skills with the capacity to meet deadlines consistently
Familiar with IS Net world a plus
Familiar with DOT a plus
