Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role combines administrative excellence with team management, vendor coordination, and office logistics to create an efficient, welcoming, and productive workspace. The ideal candidate will thrive in a fast-paced setting, demonstrating exceptional communication skills, organizational prowess, and a proactive approach to problem-solving. Your leadership will foster a positive office culture while managing day-to-day operations with precision and enthusiasm.

Responsibilities

Oversee daily office functions, including front desk operations, multi-line phone systems, and greeting visitors with professionalism and courtesy.
Manage calendar scheduling for meetings, appointments, and events, ensuring all logistics are coordinated seamlessly.
Supervise property management staff and coordinate maintenance requests, payables, and billing.
Handle vendor management by sourcing supplies, negotiating contracts, and maintaining strong relationships with service providers.
Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing and human resources functions.
Organize and manage filing systems and ensure compliance with recordkeeping standards.
Assist in budgeting efforts by tracking expenses, preparing reports, and identifying cost-saving opportunities.

Requirements

Proven experience in office administration or office management roles with strong clerical and organizational skills.
Demonstrated supervisory experience leading teams within an office environment.
Proficiency in QuickBooks, calendar management tools, and Microsoft Office Suite.
Knowledge of vendor management practices, budgeting principles, bookkeeping, and payroll processing.
Excellent communication skills paired with professional phone etiquette; capable of managing front desk duties effectively.
Experience in event planning, training & development initiatives, and human resources functions is highly desirable.
Ability to multitask efficiently in a fast-paced setting while maintaining attention to detail.
