Office Manager / Full-Charge Bookkeeper
Location: Colorado Springs, CO
Work Setting: On-site
Schedule: Monday–Friday, 7:00 a.m.–4:00 p.m.
Compensation: $70,000–$75,000 annually, plus performance bonus

Position Overview
Our client is seeking an experienced
Office Manager / Full-Charge Bookkeeper to oversee daily accounting, payroll, human resources administration, facilities coordination, and general office operations. This is a highly visible, hands-on role that serves as a central resource for employees and leadership. The successful candidate will be comfortable balancing detailed accounting responsibilities with administrative, human resources, and facilities-related duties.
Key Responsibilities
Accounting and Bookkeeping
- Manage full-cycle accounting using accrual-based accounting principles.
- Maintain an accurate chart of accounts and general ledger.
- Monitor the effect of transactions on the profit and loss statement and balance sheet.
- Process accounts payable and accounts receivable.
- Prepare customer invoices and monitor outstanding balances.
- Review accounts receivable aging reports and follow up on past-due accounts.
- Complete three-way matching of purchase orders, invoices, and receiving documentation.
- Reconcile petty cash and investigate discrepancies.
- Reconcile multiple bank and credit card accounts each month.
- Maintain accurate and organized accounting records.
- Coordinate financial documentation and reporting with the organization’s outside CPA firm.
- Support the annual financial statement review process.
Payroll and Compliance
- Process weekly payroll through QuickBooks using information provided by leadership.
- Prepare and submit certified payroll reports accurately and on schedule.
- Prepare weekly federal and state payroll tax filings.
- Complete quarterly Colorado FAMLI filings.
- Manage monthly workers’ compensation reporting and payments.
- Prepare annual W-2s and 1099s.
- Maintain accurate payroll and compliance records.
Office and Facilities Management
- Oversee daily administrative and office operations.
- Order office and operational supplies.
- Coordinate testing and compliance requirements for office locations.
- Manage relationships with building and service vendors.
- Coordinate security-system matters, cleaning services, landscaping, maintenance, and repairs.
- Schedule annual fire-system inspections.
- Participate in weekly Monday morning staff meetings.
- Maintain organized operational, accounting, payroll, and personnel records.
- Serve as a dependable resource for employees and leadership.
Human Resources Administration
- Coordinate employee onboarding.
- Arrange background checks, drug screenings, and pre-employment physicals.
- Set up new employees in payroll.
- Coordinate benefits enrollment.
- Maintain confidential employee and payroll documentation.
- Assist with employee offboarding.
- Prepare final paychecks and confirm payment of accrued vacation.
- Support performance-management activities as needed.
Qualifications
- At least five years of full-cycle accounting, bookkeeping, and office-management experience.
- Strong knowledge of accrual accounting.
- Thorough understanding of debits, credits, general ledger activity, and financial statements.
- Experience managing accounts payable, accounts receivable, billing, payroll, and account reconciliations.
- Proficiency with QuickBooks Desktop or QuickBooks Online.
- Experience with both QuickBooks Desktop and QuickBooks Online is strongly preferred.
- Experience preparing payroll tax filings, W-2s, 1099s, and recurring compliance reports.
- Strong attention to detail and a commitment to accurate, timely work.
- Ability to protect confidential financial and employee information.
- Strong organizational, communication, and problem-solving skills.
- Ability to prioritize multiple responsibilities and work independently.
- Comfort working in a hands-on environment where responsibilities extend beyond accounting.
