Job Summary

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative functions, maintains efficient communication channels, and supports our team to achieve their best. The ideal candidate will bring strong office management skills, technical proficiency, and a proactive attitude to foster a productive and welcoming workplace. Duties

Manage day-to-day office operations, including coordinating supplies, equipment maintenance, and facility needs
Oversee front desk responsibilities such as greeting visitors, handling multi-line phone systems, and directing calls with professional phone etiquette
Maintain organized filing systems, data entry records, and ensure accurate document management using productivity software and spreadsheets
Support calendar management and scheduling for team meetings, appointments, and events using Microsoft Office tools
Assist with client communication and customer support by providing timely responses via phone or email
Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping
Facilitate effective communication across departments through clear documentation, proofreading, and word processing

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
Technical proficiency with office equipment including multi-line phone systems and basic computer literacy
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Bilingual abilities are highly desirable to support diverse client and team interactions
Strong customer service skills combined with professional phone etiquette and client communication expertise
Experience with QuickBooks or similar accounting software is mandatory
Personal assistant experience or calendar management skills are advantageous
Demonstrated ability to handle confidential information discreetly while maintaining high productivity levels
