About Us

Party Suppliers & Rentals is a fast-paced event rental company specializing in weddings, private events, and corporate functions. We pride ourselves on exceptional customer service, attention to detail, and creating seamless event experiences for our clients.

Position Overview

We are seeking a highly organized, detail-oriented Event & Wedding Rentals Coordinator to join our team. This role is responsible for managing client relationships, coordinating rental orders, and ensuring smooth execution from initial inquiry through event completion.

Key Responsibilities

Serve as the primary point of contact for clients, including brides, planners, and corporate customers
Manage rental orders, proposals, and contracts with accuracy and attention to detail
Coordinate logistics including delivery schedules, pickups, and inventory allocation
Communicate clearly with warehouse and delivery teams to ensure timely and accurate event setups
Review and confirm all reservations prior to event dates to minimize errors
Assist clients with product selection, design recommendations, and rental needs
Handle client inquiries via email, phone, and in-person appointments professionally and efficiently
Resolve issues and provide solutions in a calm, client-focused manner
Maintain organized records of orders, communications, and changes
Support showroom presentation/organization as needed

Qualifications

Experience in event planning, rentals, hospitality, or customer service preferred
Strong organizational and multitasking skills in a fast-paced environment
Excellent written and verbal communication skills
High attention to detail and problem-solving ability
Ability to work flexible hours, including weekends during peak season
Positive attitude and team-oriented mindset

Seasonal Expectations

This role operates within a highly seasonal industry, with peak demand typically occurring during the spring and fall wedding seasons. During these busy periods, candidates should expect:

Increased workload and a fast-paced environment
Extended hours, including evenings and weekends as needed
Limited time off availability during peak event weeks
A strong sense of urgency and adaptability to last-minute changes

During off-peak seasons, the pace may shift to focus on planning, organization, inventory management, and client consultations for upcoming events.
