At Change the Game Performance, we are looking for a friendly, organized, and proactive Experienced Patient Care Coordinator with healthcare front-office experience who can help clients feel welcomed, supported, and confident from their very first interaction.
This is an active, patient-facing front office role, not a position where you will remain seated behind a desk throughout your shift.
As a Patient Care Coordinator, you will interact with clients throughout the clinic, support our physical therapy and sports performance teams, follow up with prospective clients, help maintain an organized facility, and make sure every person who walks through our doors receives the Gold Standard experience we are known for.
We are specifically looking for candidates who already have experience working in a physical therapy, chiropractic, medical, dental, or similar healthcare environment.

Schedule
- Monday through Friday
- Approximately 25-30 hours per week
- Start time: 12:00 PM
- End times vary between approximately 5:00 PM and 6:15 PM, depending on the day

What You’ll Do
Front Desk and Client Experience
- Welcome clients and assist with check-in and check-out
- Create a friendly, professional, and organized front-office experience
- Answer incoming phone calls with warmth, confidence, and professionalism
- Respond to client questions and provide clear next steps
- Communicate effectively with athletes, families, physical therapy patients, and training clients
- Stay engaged with clients and activity throughout the clinic rather than remaining behind the front desk for the entire shift
Scheduling and Client Communication
- Schedule, confirm, and update appointments
- Help maintain an organized and productive clinic schedule
- Follow up with clients regarding appointments, scheduling needs, and outstanding communication
- Support efforts to reduce cancellations and keep clients engaged in their plan of care
- Lead Follow-Up and Appointment Conversion
- Respond promptly to prospective client inquiries by phone and email
- Follow up with new leads and help convert inquiries into scheduled appointments
- Clearly communicate the value of our physical therapy and sports performance services
- Participate in training designed to strengthen phone communication and lead-conversion skills
Administrative and Technology Support
- Enter and update client information accurately
- Work within our EMR, scheduling, phone, and communication systems
- Use Google Workspace to support daily administrative responsibilities
- Learn and confidently use platforms such as Prompt, DialPad, and GHL
- Maintain accurate, organized, and up-to-date client information
Clinic and Team Support
- Communicate with the physical therapy, sports performance, and operations teams throughout the day
- Provide administrative support as directed by the Front Office Lead or Operations Manager
- Assist with light cleaning and facility upkeep to maintain our Gold Standard environment
- Move throughout the clinic as needed to support clients and the team
- Take initiative when something needs attention rather than waiting to be asked
Requirements to apply:
- Haveat least one year of healthcare or medical front-office experience
- Have worked in a physical therapy, chiropractic, medical, dental, or similar healthcare office
- Understand the importance of providing an exceptional patient and client experience
- Are comfortable answering phones and communicating with prospective clients
- Have experience scheduling appointments and managing multiple calendars
- Are comfortable using an EMR and learning new technology
- Are confident using Google Workspace
- Can manage multiple systems and priorities without losing attention to detail
- Communicate with warmth, professionalism, and confidence
- Are proactive, dependable, organized, and comfortable taking initiative
- Enjoy being part of an active, hands-on, client-facing environment
- Are comfortable assisting with light facility upkeep

Previous physical therapy office experience is a major advantage over other specialties because familiarity with treatment and clinic operations will be valuable. However, candidates with strong experience in another healthcare environment will also be considered.
We are specifically looking for an Experienced Patient Care Coordinator who can bring an existing understanding of healthcare front-office operations while continuing to grow within our practice.
