20 Hours per Week | Monday–Friday, 9:00 AM–1:00 PM | $20/hour

Evolution Wellness is a growing outpatient mental health practice in Wilmington, North Carolina. We're looking for a warm, organized, and dependable Part-Time Client Services Coordinator to join our administrative team.

This role helps keep the day-to-day client experience running smoothly by answering phones, assisting clients with scheduling and routine administrative needs, supporting our new-client intake process, and helping ensure important follow-up doesn't fall through the cracks.

This is a great fit for someone who genuinely enjoys helping people, communicates well on the phone, stays organized, and likes having a variety of responsibilities throughout the day.

What You'll Do

Client Services

Answer incoming phone calls during assigned coverage times
Assist established clients with scheduling and rescheduling
Answer routine administrative questions
Route messages and more complex concerns to the appropriate team member
Provide a warm, professional experience for clients and prospective clients

Intake Support

Serve as backup for new-client inquiries
Assist with scheduling new-client appointments when needed
Help monitor completion of intake paperwork
Assist with appointment reminders and location information
Help ensure new clients are prepared for their first appointment
Provide additional intake support when our Client Engagement Coordinator is unavailable

Communications & Referral Support

Monitor our marketing email
Monitor and respond appropriately to Instagram messages
Route prospective-client inquiries promptly
Complete routine referral follow-up with community partners
Send referral communications through our digital fax system
Document and track follow-up activity

Administrative Support

Assist with routine scheduling and data-accuracy checks
Maintain assigned administrative checklists
Assist with special administrative projects
Provide additional support when another administrative team member is out
Cross-train in other basic administrative functions

Office Readiness

Help keep the office welcoming and well stocked
Monitor basic office and kitchen supplies
Refill soap and paper products as needed
Complete simple recurring facility tasks such as Keurig maintenance and scheduled air-filter changes
Report maintenance concerns to leadership

Qualifications

High school diploma or equivalent required
1–3 years of customer service, medical office, healthcare, administrative, scheduling, hospitality, or similar experience preferred
Excellent verbal communication skills
Strong organization and follow-through
Comfortable communicating frequently by phone
Comfortable learning new technology and systems

Healthcare or behavioral-health experience is a plus, but not required.

Schedule

This is a consistent 20-hour-per-week, in-person position:

Monday–Friday, 9:00 AM–1:00 PM
