At Family Dentistry of Ohio, we know a patient's first impression sets the tone for their entire visit and that impression starts with you. We are looking for someone who is organized, reliable and enjoys making people feel welcomed and comfortable. We're a growing, multi-location practice built on clear systems, genuine care, and a team that shows up for one another, not just for our patients.

This role is for someone who takes real ownership of the moment they're given and who sees structure as something that supports people, not something that gets in the way. It's not the right fit for someone who wants to punch in, coast, and punch out.

What You’ll Do

Patient Experience

Be the warm, genuine first face every patient sees — by name whenever possible
Create arrivals that feel like a welcome, not a check-in process
Lead patient check-in and assist with checkout as needed
Ensure patients understand and complete all necessary forms, consents, treatment estimates, and other documentation
Coordinate appointment confirmations and patient communication
Jump in to assist with phones during busy periods while remaining focused primarily on in-office patient experience
Monitor patient flow to ensure patients are being seen in a timely manner with respect to their scheduled appointment time

Office Coordination & Operations

Help oversee the day-to-day upkeep and appearance of the office
Coordinate office supplies, inventory, and general operational needs
Assist with building and equipment maintenance coordination
Support the administrative team with day-to-day office tasks as needed
Help identify areas for improvement in office flow, organization, and patient experience
Track issues proactively and help ensure they are resolved efficiently

A Day in the Life of a Patient Experience Coordinator at Family Dentistry of Ohio

Your day starts by ensuring the office is ready to welcome the first patients of the morning by 7:45a. From there, you're the steady, warm presence at the front of the office; greeting patients by name, guiding them through check-in and checkout, and making sure forms, consents, and treatment estimates are handled before they're seated.

Throughout the day, you'll monitor the flow of the schedule and speak up if patients are waiting longer than they should, jump in on phones during busy stretches, and work with the team and leads to help keep the office itself running smoothly, supplies stocked, the waiting area welcoming, small issues flagged before they become big ones.

You'll work closely with the front office team, the clinical team, and practice leadership. By the end of the day, success looks like patients who felt genuinely cared for, a schedule that ran on time, and a team that felt supported rather than scrambling.
