Full Job Description

Wilmington Dermatology Center: Patient Care / Front Office Coordinator

The Patient Care / Front Office Coordinator at Wilmington Dermatology Center will be responsible for accurate management and triaging of messages, capturing and facilitating the needs of the patients, responding to patient inquires, managing patient service & scheduling process, and overall facility care. We have a well respected hard working team that works together towards our goal of providing our patients with the latest treatments with a focus on results.

Essential Functions & Responsibilities:

Manage all aspects of inbound patient scheduling and care requests including inquiries by phone, email, text or walk-in.
Greeting patients as they enter and completing important check-in information
Scanning patient information and educating patients on important forms
Accurately completing data entry for patient demographics and insurance information
Entering important insurance information accurately
Educating patients on available treatments, events, and overall visit details
Assisting in both general dermatology and cosmetic product education
Processing referrals received and scheduling patients as necessary
Assisting patient check-out functions including processing payments
Assist in the fee quoting process for cosmetic services
Oversee general facility care, such as ensuring waiting room/exam room/consult room/work areas have proper appearance and neatly maintained, TV and music in waiting area is properly functioning, ensuring no trash in exterior areas or safety hazards, ensuring working order of office equipment, etc.
And all other duties as assigned.

Qualifications & Experience Required:

College degree preferred.
Excellent attention to detail.
Ability to adjust priorities quickly as circumstances dictate.
Team-player mentality, wanting to work cohesively with others.
Ability to maintain composure under pressure.
Ability to multitask.
Ability to work autonomously as dictated & make appropriate decisions.
Proven planning and organizational skills, attention to detail, ability to handle multiple tasks.
Outstanding written and verbal communication.
Efficient and accurate in managing multiple phone lines, with knowledge of general phone systems.
Proficient in data entry and accurate and speedy typing.

Physical Demands and Work Environment

This position operates primarily in a professional office/clinical environment. The role regularly requires standing, sitting, working at a computer, communicating with employees, managers, physicians, patients, and walking throughout the day. There are no regular lifting requirements beyond standard office/ practice materials. The work environment is typical of a medical practice setting.
