Full Job Description

Position Summary

The Executive Assistant to the President serves as a trusted partner and strategic administrative professional responsible for providing high-level executive support. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs in a fast-paced environment. The Executive Assistant will manage the President's daily operations, coordinate communications, oversee scheduling, and ensure priorities are executed efficiently while maintaining strict confidentiality.

This position plays a critical role in supporting the President's effectiveness and helping drive organizational success through proactive planning, effective communication, and seamless execution of administrative and operational responsibilities.

Key Responsibilities

Executive Support

Manage the President's complex calendar, appointments, meetings, and travel arrangements.
Prepare meeting agendas, presentations, reports, and briefing materials.
Screen and prioritize incoming communications, including emails, phone calls, and correspondence.
Draft professional correspondence, presentations, and internal communications on behalf of the President.
Monitor priorities and proactively identify scheduling conflicts or opportunities to improve efficiency.

Administrative Leadership

Maintain confidential files, records, and sensitive company information with the highest level of discretion.
Coordinate executive meetings, leadership meetings, board meetings, and special events.
Record meeting minutes and track follow-up action items to completion.
Assist with budget tracking, expense reporting, and purchase requests as needed.
Organize company documents and maintain electronic filing systems.

Communication & Coordination

Serve as a liaison between the President and internal departments, customers, vendors, and business partners.
Facilitate communication across leadership teams to ensure timely completion of projects and initiatives.
Coordinate cross-functional activities and monitor progress on executive priorities.
Welcome and coordinate visits from customers, vendors, and other guests.

Project Management

Support strategic initiatives by coordinating timelines, deliverables, and follow-up activities.
Assist with research, data collection, and preparation of executive reports.
Manage special projects as assigned by the President.
Recommend and implement process improvements that increase executive and organizational efficiency.

Office Management

Ensure the office operates efficiently and professionally.
Coordinate office supplies, equipment, and administrative resources.
Support company events, executive meetings, and leadership retreats as needed.

Qualifications

Associate's or Bachelor's degree preferred.
Executive administrative support experience, preferably supporting C-suite executives.
Demonstrated ability to manage multiple priorities while meeting deadlines.
Exceptional written and verbal communication skills.
High level of professionalism, integrity, and discretion.
Strong organizational and time management skills.
Excellent attention to detail and problem-solving abilities.
Ability to work independently while exercising sound judgment.
Experience managing confidential and sensitive information.

Technical Skills

Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
Experience with Adobe Acrobat and electronic document management
Familiarity with ERP, CRM, and accounting software is a plus
Strong aptitude for learning new technology and software platforms
