Overview

Medical Front Office CoordinatorWe’re Looking for Someone Who Can Keep the Office Moving—and Make Every Patient Feel Welcome.

Are you a confident communicator with a dynamic personality, strong organizational skills, and a genuine passion for helping people? Are you someone who takes ownership, follows through, stays calm under pressure, and can keep a busy medical office running smoothly?

We are looking for an experienced Medical Front Office Coordinator to join our team. This is a hands-on, fast-paced position for someone who is reliable, dependable, organized, professional, and highly skilled in medical front office operations.

You will be one of the first faces and voices our patients encounter, so your ability to communicate warmly and confidently is essential. At the same time, you’ll need the medical knowledge and administrative skills to manage scheduling, insurance, patient records, billing, and daily office operations accurately and efficiently.

What You’ll Do

Serve as the welcoming, professional face of our practice and create an exceptional patient experience from check-in through check-out.
Manage the front desk and keep daily office operations organized, efficient, and running smoothly.
Schedule and coordinate patient appointments while effectively managing the provider’s schedule.
Communicate confidently and professionally with patients, physicians, clinical staff, insurance companies, and other healthcare professionals.
Handle a multi-line phone system, answer questions, take messages, and respond to patient needs with professionalism and urgency.
Complete patient registration, intake, check-in, check-out, and demographic updates.
Verify insurance eligibility and benefits and obtain necessary information prior to appointments.
Assist with insurance claims, billing, payments, authorizations, and follow-up as needed.
Understand and work with CPT, ICD-10, and medical billing terminology to support accurate documentation and reimbursement.
Maintain accurate and up-to-date patient records within the EHR.
Review documentation, care plans, medical records, and administrative files for accuracy and completeness.
Handle sensitive patient information in strict accordance with HIPAA and privacy requirements.
Assist with Medicare and other insurance-related processes.
Perform data entry, filing, faxing, scanning, document management, and other administrative responsibilities.
Support clinical staff with administrative needs and help anticipate what needs to be done rather than waiting to be asked.
Maintain an organized, professional front office and contribute to efficient workflows.
Help resolve patient concerns with patience, professionalism, and sound judgment.
Take ownership of responsibilities and follow tasks through to completion.

Qualifications & Experience

3+ years of medical front office or medical administrative experience preferred.
Previous experience in a medical practice, clinic, or healthcare setting.
Strong experience with patient scheduling and appointment coordination.
Experience with insurance verification, eligibility, and benefits.
Knowledge of medical billing and insurance processes.
Familiarity with CPT and ICD-10 coding and medical terminology.
Experience working with EHR/EMR systems.
Knowledge of Medicare and other insurance plans is a plus.
Strong computer skills, including Microsoft Word, Excel, electronic health records, and data entry.
Accurate typing and 10-key skills.
Excellent telephone etiquette and customer service skills.
Ability to handle confidential patient information in accordance with HIPAA.
Bilingual skills are highly desirable.
