Full Job Description

The Project Coordinator plays a critical role in ensuring project success by maintaining organization, supporting communication, and enabling efficient execution across all phases of construction projects. The Project Coordinator provides administrative and operational support for construction projects. This role works closely with Project Managers, field personnel, subcontractors, vendors, and general contractors to ensure accurate project documentation, timely procurement, and effective communication throughout the project lifecycle. The position plays a key role in maintaining project organization, supporting compliance with contract documents, and ensuring adherence to company standards, safety requirements, and applicable Connecticut and federal regulations.

Essential Duties and Responsibilities

- Project Documentation & Administration

Review construction drawings and specifications to develop and maintain submittal logs
Prepare, assemble, and submit submittals and product data for approval
Track submittals, RFIs, and related documentation using project management systems in Procore and Sage. Occasionally other platforms, which would be dictated by customer needs.
Maintain accurate and organized digital and physical project files
Distribute project updates, bulletins, and documentation to internal and external stakeholders
Prepare and distribute job start-up packets for field teams

- Procurement & Vendor Coordination

Assist in preparing and issuing purchase orders in coordination with Project Managers
Coordinate equipment and material procurement for HVAC/mechanical systems
Track delivery schedules and follow up with vendors to ensure timely delivery
Communicate with suppliers following submittal approvals
Solicit vendor and subcontractor pricing as needed
Assist with coordination of subcontractors in accordance with company policies

- Project Coordination & Support

Coordinate with Project Managers, field staff, engineers, and general contractors
Assist with preparation and processing of change orders
Print and distribute project drawings and related documentation
Prepare labels, equipment tags, and field documentation
Support continuous improvement of administrative and project workflows

- Project Closeout

Compile and submit Operation & Maintenance (O&M) manuals
Prepare and submit as-built documentation
Assemble and deliver complete project closeout packages

- Additional Responsibilities

Ensure job packets include required safety and OSHA documentation
Maintain compliance with company procedures and project requirements
Perform additional duties as assigned

Required Skills and Competencies

Proficiency in Microsoft Office (Word, Excel, Outlook)
Proficiency with construction software (e.g., Procore, Sage) required
Strong written and verbal communication skills
Excellent organizational and time management abilities
High attention to detail and accuracy
Ability to manage multiple priorities in a fast-paced construction environment
Strong problem-solving and coordination skills
Ability to work collaboratively with internal teams and external partners
Familiarity with HVAC/mechanical construction terminology preferred

Education and Experience

High school diploma or equivalent required, college degree preferred
Minimum of two (2) years of experience in construction administration, project coordination, or similar role preferred (can substitute bachelors degree for years of experience)
Intermediate math skills related to construction quantities and documentation
HVAC or mechanical construction industry experience strongly preferred

Work Schedule

Monday through Friday, typically 8:00 AM – 4:30 PM
Additional hours may be required based on project demands

Physical Requirements

Prolonged periods of sitting and computer work
Ability to stand, walk, bend, kneel, and reach as needed
Ability to lift or move up to 50 pounds occasionally
Occasional exposure to active construction environments and weather conditions

Safety Requirements

Employees must comply with all company safety policies, OSHA regulations, and job site safety requirements, including those specific to HVAC and mechanical construction environments.
