Full Job Description

We are seeking a dependable, organized, and motivated Executive Assistant to support the female owner and day-to-day operations of a growing transportation and fleet/automotive business.

This is not a traditional desk-only administrative position. The right candidate will be comfortable answering phones and handling paperwork one minute and helping coordinate drivers, vendors, repair shops, customers, and vehicles the next. This is an excellent opportunity for someone who enjoys variety, takes initiative, and wants the opportunity to grow with a small business.

Sample Duties & Responsibilities

Open the business/office and assist with daily startup activities
Answer and return business phone calls, text messages, and customer inquiries
Maintain organized files, vehicle records, receipts, invoices, and other business paperwork
Assist with vehicle title paperwork, registrations, and dealership documentation
Become a Notary Public, if not already commissioned — company will pay associated costs for the right candidate
Meet repair vendors, parts suppliers, delivery drivers, and other service providers
Coordinate vehicle repair and service appointments
Pick up and drop off company drivers at repair shops, service facilities, and vehicle locations
Occasionally drive the owner or another team member to pick up or deliver vehicles
Assist with vehicle pickups, deliveries, and other local errands
Create and maintain Facebook Marketplace and other online vehicle listings
Take or organize vehicle photos and basic listing information
Meet customers and clients at the office or vehicle lot
Assist customers with basic paperwork and direct questions to the appropriate team member
Help maintain an organized office, vehicle files, keys, and records
Assist with scheduling, calendars, reminders, and follow-up items
Communicate professionally with customers, drivers, vendors, repair facilities, and business partners
Assist the owner with special projects and daily operational needs
Perform other administrative and operational duties as the businesses continue to grow

What We're Looking For

The ideal candidate is:

Dependable, punctual, and trustworthy
Highly organized and able to manage multiple priorities
Comfortable working independently without constant supervision
Professional when dealing with customers and vendors
Comfortable using a computer, smartphone, email, text messaging, and social media
Willing to learn the transportation and automotive industries
Comfortable driving locally and assisting with vehicle-related errands
Able to maintain confidentiality regarding company, employee, and customer information
A problem solver who can recognize what needs done and take initiative
Flexible and comfortable working in a small-business environment where every day can be different

A valid driver's license and acceptable driving record are required. Automotive, transportation, dealership, office management, customer service, title, or administrative experience is helpful but not required for the right person.

Compensation & Benefits

$15.00/hour starting pay
Performance review and opportunity for a raise after 90 days
Company-provided phone and computer, as needed
Company-paid Notary Public commission/training, if applicable
Possible use of a company vehicle for a highly qualified and trusted candidate
