JUNIOR ACCOUNTS PAYABLE SPECIALIST / ADMINISTRATIVE SUPPORT – PART-TIME

100% On-Site (In-Office)

SCHEDULE: Mon-Fri, 20 hours (TBD)

· We will work with you on specific days/hours during core business hours, but Mondays are mandatory!

DESCRIPTION

We have a junior-level opportunity for a motivated and detail-oriented Junior Accounts Payable / Administrative Support Specialist – Part-Time to join our growing team. WHAT YOU’LL DO:

Accounting (Accounts Payable) Responsibilities

Process vendor invoices accurately and timely
Match purchase orders to invoices and resolve discrepancies
Prepare and execute payment runs
Capture eligible discounts to maximize cash flow
Process employee expense reports
Perform account reconciliations
Assist with month-end close activities
Assist with inventory and cost accounting functions
Maintain accurate financial records and documentation
Growth potential for more accounting responsibilities (Accounts Receivable)

Administrative Support

Retrieve, open, date stamp, sort, and distribute incoming mail: prepare and process outgoing mail daily
Order, maintain organization and inventory control of office supplies
Coordinate UPS, FedEx, and USPS shipments
Welcome visitors and support front office operations
Assist with general administrative projects and office support as needed

Customer Service

Professionally greet, assist, and direct all visitors, customers, and guests to include escorting individuals throughout the facility as needed
Receive, screen, direct, and relay incoming telephone calls to the appropriate staff member while addressing inquiries whenever possible
May open and/or close the main office entrance during regular business hours

WHAT WE’RE LOOKING FOR:

1-3 years (max) of accounting, AP, payroll, or office finance experience OR enrolled in a post-secondary accounting program with some formal accounting experience (e.g., internship)
Strong attention to detail and high level of accuracy
Strong organizational and time management skills
Ability to prioritize multiple responsibilities
Strong communication and problem-solving skills
Proficiency in Microsoft Excel and Word
Positive attitude and willingness to learn
BONUS BACKGROUND: Enrolled or working on AS or BS in Accounting
BONUS SKILL: Accounting software experience (we use Sage)

Reporting Structure

This position reports directly to the Staff Accountant.

Pay Range:

Dependent on experience // UP TO $25.00 per hour (NOT benefits-eligible)
